Job Summary

The Payroll Specialist will be responsible for providing timely and accurate payment of school employees, ensuring the accuracy of time sheets, preliminary reports, spreadsheets, employee records, and addressing payroll-related inquiries.

Key Responsibilities
  • Administer the payroll for summer school employees to ensure timely payment.
  • Attend meetings to convey and receive information required to perform functions.
  • Communicate with internal and external parties to ensure accurate processing of payroll deductions and garnishments.
  • Coordinate time reports to verify accuracy of totals, authorized signatures, and other documentation.
  • Issue extra checks to correct discrepancies in employee pay.
  • Maintain payroll information, files, and computer records for up-to-date reference and audit trail.
  • Monitor payroll processes to ensure timely and accurate processing of payroll and related fringe benefits.
  • Perform record-keeping and general and program-specific clerical functions to support departmental operations.
  • Prepare paychecks for distribution to ensure accuracy and timely receipt by employees.
  • Prepare written materials, such as payroll and benefit reports, transmittal memos, and letters, to document activities and convey information.
  • Process non-payroll-related documents, such as retirement payouts, court-ordered adjustments, FMLA, and subpoena of payroll records, to update records and transmit information.
  • Process payroll information, including time reports, reductions, deductions, contributions, refunds, corrections, garnishments, direct deposit transmissions, and withholding information, to update records and transmit information.
  • Research discrepancies of payroll information and/or documentation to ensure accuracy and compliance with policies prior to processing.
  • Respond to written and verbal inquiries to provide information and/or direction.
  • Support assigned administrators to provide assistance with their administrative functions.
  • Verify various payroll-related information, such as time sheets, direct deposits, wage attachments, benefits, and employee records, to ensure accurate distribution of funds and payroll.
Requirements
  • High school diploma or equivalent.
  • Job-related experience within the specialized field with increasing levels of responsibility required.
Skills, Knowledge, and Abilities
  • Skills: operating standard office equipment, using pertinent software applications, payroll procedures, and preparing and maintaining accurate records.
  • Knowledge: algebra and/or geometry, reading a variety of manuals, writing documents following prescribed formats, and presenting information to others.
  • Ability: scheduling activities, gathering, collating, and/or classifying data, and using basic job-related equipment.
Clearances
  • Criminal Justice Fingerprint/Background Clearance.
  • Tuberculosis Skin Test.
  • Public Health Compliance: Proof of COVID vaccination. Exemptions for religious/medical will be reviewed. Must follow safety and health protocols.
