Job Summary

The Payroll Specialist position at Alexandria City Public Schools is responsible for providing timely and accurate payment of school employees, ensuring the accuracy of time sheets, preliminary reports, spreadsheets, employee records, and addressing payroll-related inquiries.

Key Responsibilities
  • Administers payroll for summer school employees to ensure timely payment.
  • Attends meetings to convey and receive information required to perform functions.
  • Communicates with internal and external parties to ensure accurate processing of payroll deductions and garnishments.
  • Coordinates time reports to verify accuracy of totals, authorized signatures, and documentation.
  • Issues extra checks to correct discrepancies in employee pay.
  • Maintains payroll information, files, and computer records for reference and audit trail.
  • Monitors payroll processes to ensure timely and accurate processing of payroll and related fringe benefits.
  • Performs record-keeping and general clerical functions to support departmental operations.
  • Prepares paychecks for distribution to ensure accuracy and timely receipt by employees.
  • Prepares written materials to document activities, provide written reference, and convey information.
  • Processes non-payroll-related documents, such as retirement payouts, court-ordered adjustments, and FMLA.
  • Processes payroll information, including time reports, reductions, deductions, contributions, refunds, corrections, garnishments, and direct deposit transmissions.
  • Researches discrepancies in payroll information and documentation to ensure accuracy and compliance with policies.
  • Responds to written and verbal inquiries to provide information and direction.
  • Supports assigned administrators with their administrative functions.
  • Verifies payroll-related information, such as time sheets, direct deposits, wage attachments, and benefits, to ensure accurate distribution of funds and payroll.
Requirements
  • High school diploma or equivalent.
  • Job-related experience within the specialized field with increasing levels of responsibility.
Skills, Knowledge, and Abilities
  • Operating standard office equipment using pertinent software applications.
  • Payroll procedures.
  • Preparing and maintaining accurate records.
  • Algebra and/or geometry.
  • Reading a variety of manuals, writing documents following prescribed formats, and presenting information to others.
  • Solving practical problems.
  • Office application software.
  • Business telephone etiquette.
  • Payroll/accounting procedures.
Working Conditions

The Payroll Specialist position is performed in a generally clean and healthy environment. The usual and customary methods of performing the job's functions require occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling, and significant fine finger dexterity. The job requires 70% sitting, 15% walking, and 15% standing.
