Job Description

The Shared Services Logistics Analyst at SPI LLC is responsible for managing the billing administration of worldwide Fleet assets, both owned and leased.

This role works closely with Accounting, FP&A, Logistics, and AP teams, reporting to the Shared Services Manager.

Main Responsibilities:

  • Fleet Tracking and Management: Download and update the NECS tracking report for all vehicles and related information, including unit numbers, make/models, branch locations, license plates, EZ Pass transponder #s, leasing company info, lease expiration dates, asset end-of-life dates, gas card #s, and other details as required.
  • Billing Consolidation: Work to consolidate all billing per leasing company, creating or gaining access to vendor billing portals, adding new leases to centralized billing, working with the Logistics Manager to onboard new branches, creating payment allocations, and providing analysis for synergy savings.
  • Payment Verification and Analysis: Collaborate with NECS to ensure completeness of payments made on behalf of the company and billing accuracy.
  • Fuel Card Management: Work with the Logistics Manager and Accounting to create a process to track issuing/maintenance fleet gas cards (Comdata), create payment allocations, provide JE, and analyze billing to ensure fuel is dispensed for business purposes only.
  • Transition of Fleet Purchases: Work with branches to transition fleet purchases processed at the branch level on credit cards to regular AP billings, including EZ Pass accounts and leases.
  • EZ Pass Account Reconciliation: Reconcile and audit all EZ Pass accounts, providing allocation costs to AP.
  • Trailer Tracking: Track all trailers, including branch, leased/owned status, use for storage/freight, and cost passed to customers.
  • Other Duties: Perform other duties as assigned by management.

Requirements:

  • 3-5 years of experience in AP, Accounting, or general Finance; an AA or BA in Accounting or a related field is preferred.
  • Excellent time management and teamwork skills, with ability to work with members across the company on several levels.
  • Intermediate to Advanced Excel skills.
  • Fleet billing/account experience is a plus.

Work Environment:

Office environment with moderate physical demands, including walking, standing, climbing, lifting up to 30 lbs, stooping, bending, kneeling, and reaching.

Travel: Minimal.

Exemption Status: Exempt.
