Job Title: Human Resources Specialist

Malone Workforce Solutions is seeking a highly skilled Human Resources Specialist to support the HR department in a variety of functions, including policy development, VISA processing, purchasing, insurance administration, recruitment support, and HR data management.

Key Responsibilities:
  • Recruitment & Talent Acquisition:
    • Provide administrative and operational support to the recruitment team.
    • Assist with job postings, candidate communications, and interview scheduling.
    • Collaborate on new hire onboarding and maintain accurate recruitment records.
    • Represent the company at career fairs and support recruitment initiatives.
  • Policy Development & Implementation:
    • Assist in developing, implementing, and updating HR policies.
    • Ensure all policies are legally compliant and align with company values.
    • Update employee handbooks and manuals as needed.
  • VISA Processing:
    • Manage the processing of work visas and permits for international employees.
    • Liaise with immigration authorities to ensure compliance.
    • Support international employees during the documentation process.
  • Purchasing & Procurement:
    • Manage the purchasing of HR-related supplies and services.
    • Evaluate vendors, negotiate contracts, and track procurement activities.
    • Maintain purchase records and reconcile invoices for the HR department.
  • Insurance Administration (Property & Liability):
    • Oversee property and liability insurance policies, including claims and renewals.
    • Ensure compliance with legal and company insurance requirements.
    • Coordinate with other departments to assess insurance needs.
  • HRIS System Data Entry & Maintenance:
    • Ensure accurate data entry for new hires, employee changes, and other HR information in the HRIS system.
    • Regularly audit HRIS records for consistency and accuracy.
    • Provide technical support to employees and managers using the HRIS system.
  • Other Duties:
    • Assist with employee relations, communications, and training initiatives.
    • Provide support for HR projects and collaborate with external vendors.
    • Conduct research on HR best practices and trends.

Qualifications:

  • Bachelor's degree in human resources, Business Administration, or a related field.
  • 2-4 years of experience in HR, recruitment support, or a related role.
  • Knowledge of HR policies, labor laws, visa processing, insurance administration, and HRIS systems.
  • Proficiency in HRIS systems, MS Office, and visa-related software.
  • Strong organizational and communication skills with high attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
