Job Summary: The Procurement Support Specialist assists in the acquisition-related tasks at the collegiate or university level.

Additional Department Summary: This role acts as the main processor for the majority of purchases within the Civil, Construction, and Environmental Engineering (CCEE) department. It serves as the initial point of contact for students and visitors, providing administrative oversight and operational assistance. The position encompasses various office, administrative, and secretarial responsibilities, including aiding the Department Head with scheduling, managing calendars, and welcoming visitors. The specialist also oversees course and room scheduling, assists students with registration, and coordinates visits for seminars, interviews, and prospective students. Proficiency in various software applications is required to facilitate scheduling, manage student information, and handle course/curricular materials. Daily support is provided to faculty, staff, and undergraduate students by managing incoming and outgoing correspondence and assisting with undergraduate accreditation processes and documentation (ABET).

Required Minimum Qualifications: A high school diploma or GED is necessary.

Skills and Knowledge: Strong organizational, communication, and public relations skills are essential. Excellent customer service and communication abilities are required. Proficiency in computer and data entry tasks is necessary, along with the capability to work collaboratively in a dynamic environment. The ability to maintain productivity in a fast-paced setting with frequent interruptions and manage stressful situations is crucial. Candidates should demonstrate tact, versatility, adaptability, self-motivation, and initiative. Familiarity with personal computers and standard software applications (Outlook, Word, PowerPoint, Excel, etc.) is expected.

Preferred Qualifications: Experience with university operating software programs (Banner, Concur, etc.) and an understanding of university financial and purchasing policies and procedures are advantageous. Experience with budgetary and purchasing responsibilities, including reconciling credit card statements in Concur and processing purchase orders in buyBAMA, is preferred. Familiarity with entering class/course schedules in Banner and assigning classrooms in Astra is also beneficial.
