As a Construction Project Coordinator, your responsibilities will encompass a wide range of tasks, including:
Pre-Construction Duties:- Collaborate closely with the project manager to ensure seamless project execution.
- Demonstrate a thorough understanding of all contract documents and specifications.
- Review project estimates and contribute to budget development.
- Assist in the procurement of materials, equipment, and subcontractors.
- Support the review and finalization of contracts.
- Prepare and present comprehensive Construction Plans for each project.
- Distribute contract documents to internal teams and subcontractors.
- Establish organized project files for submittals, RFIs, change orders, ASIs, equipment deliveries, and more.
- Develop and maintain a detailed manpower loading chart.
- Set up project budget structures (cost codes) for accurate labor tracking and forecasting.
- Cultivate strong working relationships with all project stakeholders, including HG staff, owners, architects, engineers, subcontractors, vendors, and other relevant parties.
- Proactively identify potential deficiencies in design, drawings, or documentation and take timely action to resolve them.
- Maintain updated office and site documents, incorporating addenda and changes.
- Continuously monitor project budgets and review progress with the project manager weekly.
- Review labor cost codes and manpower loading with the field superintendent regularly.
- Update and review equipment delivery schedules with the field superintendent weekly.
- Prepare, update, and review detailed project schedules in collaboration with the project team.
- Conduct thorough quality control inspections of all installed work.
- Attend subcontractor and coordination meetings weekly.
- Prepare proposed change orders, including notifying subcontractors and others of scope changes, obtaining quotations, performing material take-offs, and calculating price adjustments.
- Maintain a comprehensive project change order log and present documentation as required.
- Update the project cost budget to reflect change orders and adjustments.
- Draft subcontractor and supplier change orders.
- Review and compose project requests for information (RFIs).
- Track submittals for project construction, coordination, and distribution to the project team.
- Assist in preparing and presenting monthly project review documentation.
- Advise the superintendent of any observed unsafe conditions and manage weekly safety audits. Ensure subcontractor compliance with safety protocols.
- Prepare invoices/billings (schedule of values) for the project manager's review and approval. Follow up with clients on outstanding payments.
- Assist in final project closeout procedures, including documentation and record keeping.
- Collaborate with the project team to gather client feedback and ensure satisfaction.
