Personnel Administration Assistant

Job Responsibilities
As a vital member of the Human Resources team, you will oversee daily administrative functions at the Virginia Correctional Center for Women, along with associated facilities. Your role will encompass assisting with recruitment efforts, maintaining payroll records, and providing comprehensive clerical support to all staff members. This position involves a variety of tasks within the HR department, including organizing meetings, managing employee records (both manual and electronic), and posting job advertisements. You will serve as a key point of contact between HR and employees, facilitating effective communication and addressing inquiries and requests promptly.
Key Duties Include:
- Supporting the Human Resources Officer (HRO) in the efficient administration of HR operations, including recruitment, payroll management, benefits coordination, and personnel file upkeep.
- Entering data into various systems such as PageUp, Cardinal, and BES, while assisting with time and leave management as needed.
- Acting as an advocate for HR, assisting in daily operations to ensure high-quality customer service across all HR functions.
Minimum Qualifications
Applicants should possess a High School Diploma or equivalent. Experience in a similar HR or administrative role is essential. Familiarity with federal and state HR policies, including the Fair Labor Standards Act (FLSA) and Family Medical Leave Act (FMLA), is required. Strong verbal and written communication skills, along with excellent interpersonal abilities, are crucial for interacting with all levels of management. Candidates should demonstrate effective organizational skills, attention to detail, and proficiency in Microsoft Office Suite or similar software.
Additional Considerations
Hands-on experience with HR systems (HRIS or HRMS) is advantageous. Knowledge of HR applicant tracking software and resume databases is preferred. Familiarity with Department of Corrections policies and timekeeping practices will be beneficial. Educational background in business or office management is a plus.
