We are seeking a highly skilled and experienced Administrative Supervisor to join our team at Wallenius Wilhelmsen. As a key member of our Customer Service department, you will be responsible for leading a team of customer coordinators and dispatchers in day-to-day operations.
Key Responsibilities- Lead the team of customer coordinators and dispatchers in day-to-day operations.
- Back-up and assist the Terminal manager in all terminal related activities as required.
- Must have working knowledge of marine terminal tariff processes.
- Responsible for the terminal tariff and ensuring all related updates are within state and federal regulations.
- Primary Point of Contact for all terminal administration duties.
- Responsible for the training, developing and supporting team members.
- Cargo clearance verification.
- Ensure all customer expectations and requirements are addressed promptly.
- Provide accurate and complete shipment information to customers as detailed by terminal operating system.
- Review terms of payment with customers and advise of COD or pre-payment requirements.
- Advise the Terminal Operations teams of special customer requirements such as crane appointments, tire mounting/unmounting, etc.
- Ensure all direct reports have the necessary equipment and supplies to do their jobs effectively.
- Troubleshoot any issues that arise within your team.
- Assist terminal manager with reports and KPIs.
- Strong supervisory and management experience.
- Prior knowledge and experience in marine terminal and vessel operations.
- Understanding of outside terminal operations to include forklift, crane, trucking, warehouse and rail operations.
- Extensive computer and systems skills to include but not limited to Windows Outlook, Teams, Excel and Word.
- Familiarity with VPC and EPC operations.
- Attention to detail.
- Ability to oversee daily heavy customer contact.
- Strong organizational skills with the independent ability to prioritize work.
- Must have problem resolution, decision-making, and general negotiation skills with customers.
- Provide firsthand experience on conference calls relating to your responsibilities.
- Working as part of the team and leading them to success.
