Position Overview:
The Billing Coordinator plays a crucial role in ensuring accurate financial reporting and billing processes within the organization. This position requires a detail-oriented individual who can manage multiple tasks efficiently in a dynamic environment.
Key Responsibilities:
- Assist management by generating and interpreting financial and operational reports.
- Gather, verify, input, and reconcile cost data into various system applications.
- Handle the receipt and reconciliation of purchase orders.
- Ensure timely posting of material and labor costs to the appropriate work orders.
- Oversee payroll activities for the district's service team, ensuring daily time postings by technicians.
- Review billing backlog and coordinate with Fulfillment Leaders, Field Technicians, and other Service Leaders to resolve issues.
- Investigate and resolve invoice discrepancies.
- Establish service agreements in system applications based on transition documents.
- Manage the invoicing process for both internal and customer applications.
- Perform general administrative tasks to support Service processes and the Service Department.
- Take on additional responsibilities as assigned.
Qualifications:
- High School Diploma is required.
- Basic experience in billing is essential.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong verbal and written communication skills are necessary.
- Intermediate to advanced proficiency in Microsoft Office Suite is required.
- Excellent organizational and time management skills.
- Flexibility to work outside of regular hours when needed.
- Preferred knowledge of basic refrigeration, commercial refrigeration, and HVAC systems.
- Demonstrated professionalism and diplomacy in all interactions.
- Strong customer service orientation.
- Proficient project management skills with a keen attention to detail.
- Ability to make informed decisions and exercise good judgment.
- Capability to work independently and collaboratively with minimal supervision.
