This role is essential in facilitating various administrative functions throughout the construction project lifecycle.

Key Responsibilities:

  • Initiate project setups and compile job documentation for the project team.
  • Oversee the onboarding of new vendors and ensure compliance with documentation standards.
  • Coordinate with subcontractors to verify that all agreements and documentation are accurately maintained.
  • Document construction processes and uphold project records meticulously.
  • Draft subcontracts, purchase orders, and modifications as needed.
  • Request and manage prints, plans, and drawings pertinent to construction activities.
  • Assist in the formulation and upkeep of contracts with owners.
  • Manage monthly billing for owners and address any office equipment issues.
  • Support bid document organization and project notarization efforts.
  • Provide administrative assistance for unique projects and collaborative initiatives.

Qualifications:

  • High School diploma or equivalent; an Associate's degree is preferred.
  • A minimum of 2 years' experience in an administrative support capacity; industry-related experience is advantageous.
  • Proficient in Microsoft Office Suite and AIA Contract Documents.
  • Excellent communication abilities and a strong commitment to customer service.
  • Capable of working autonomously, demonstrating initiative, and maintaining confidentiality.
  • Familiarity with Viewpoint and Bluebeam software is a plus.

Note: This position requires local candidates only and is strictly an in-office role, with a strong emphasis on prior construction experience.
