The Guest Services Representative plays a crucial role in delivering exceptional service to all visitors during their arrival, throughout their stay, and at departure, while optimizing room revenue and occupancy rates.

Qualifications & Experience:

  • Relevant college coursework is advantageous.
  • Prior experience in the hospitality industry is preferred.
  • A High School Diploma or equivalent is mandatory.
  • Proficiency in computer systems is desirable.
Physical Demands:
  • Flexibility in working long hours may be required.
  • Light physical activity is necessary, including lifting up to 20 pounds occasionally and 10 pounds frequently.
  • Capability to remain standing for the duration of the shift.
Cognitive Skills:
  • Ability to communicate information and ideas effectively.
  • Quickly assess and choose alternative solutions when necessary.
  • Capacity to perform well in high-pressure environments.
  • Proficient in identifying and resolving workplace issues.
  • Skilled in listening to and understanding the concerns of guests and colleagues.
  • Ability to manage financial data and perform basic arithmetic functions.

Key Responsibilities:
  • Engage with guests and staff in a friendly, service-oriented manner.
  • Uphold high standards of personal appearance and grooming, including proper uniform and name tag.
  • Ensure consistent attendance in alignment with company standards, adapting to the hotel's needs.
  • Adhere to company policies and regulations to promote safe and efficient hotel operations.
  • Maintain a warm and welcoming demeanor at all times.
  • Demonstrate attentiveness, friendliness, and courtesy towards all guests, managers, and fellow employees.

  • Greet and assist all guests approaching the reception area in accordance with company standards.
  • Manage the operation of the PBX console, ensuring adherence to hotel standards.
  • Respond to guest inquiries regarding hotel services, amenities, and operational hours promptly.
  • Oversee the logging and delivery of packages, mail, and messages to guests and meeting rooms.
  • Review daily Front Office logs and Trace Files.
  • Provide information to guests about local dining, transportation, and entertainment options.
  • Follow established cash handling and credit policies.
  • Stay informed about all rates, packages, and special promotions.
  • Be knowledgeable about in-house groups and restricted dates.
  • Gather necessary information for room reservations and follow the rate-quoting process.
  • Understand hospitality terminology and emergency procedures.
  • Handle check-ins and checkouts with efficiency and courtesy.
  • Utilize proper communication etiquette when using two-way radios.
  • Fully understand and operate all relevant aspects of the Front Desk computer system.
  • Complete all tasks and duties on the shift checklist in a timely manner.
  • Conduct bucket checks, room rate verification reports, and housekeeping reports.
  • Prepare and balance individual paperwork for shift closures in accordance with hotel standards.
  • Promote and maintain guest programs and hotel promotions.
Additional Duties:
  • Keep the work area clean and organized.
  • Assist guests with safe deposit box access.
  • Participate in meetings and training sessions as required.
  • Perform other duties as assigned by management.
