Overview:
The Lead Medical Support Coordinator (MSC) acts as the primary supervisor for a team of Lead MSCs, Advanced MSCs, and MSCs within the Health Administration Service.
Role Responsibilities:
The Lead MSCs undertake essential support functions that enhance the operations of healthcare professionals, including physicians, physician assistants, nurses, and nursing assistants, thereby facilitating optimal patient care.
Key Duties:
- Oversee Human Resource functions related to service operations, encompassing recruitment, disciplinary measures, and Labor/Management relations.
- Manage resource allocation and distribution, evaluate staffing requirements, plan spatial arrangements, and assess equipment and technology necessities along with corresponding resource requests.
- Develop performance plans and conduct performance evaluations; make recommendations for appointments, awards, and promotions while ensuring thorough vetting of new hires.
- Monitor staff competencies and maintain competency folders in compliance with regulatory standards, identifying ongoing education and training needs.
- Exhibit strong interpersonal skills and conflict resolution capabilities.
- Ensure adherence to Department of Veterans Affairs EEO guidelines within the service.
- Supervise and guide a diverse MSC team, engaging in on-the-job problem-solving, and fostering teamwork and team-building initiatives.
- Oversee daily clinic operations, ensuring timely processing of referrals, provision of treatments, and completion of documentation in accordance with established policies.
- Provide advanced professional guidance and consultation to MSC staff, evaluating complex processes with significant autonomy.
- Develop and implement innovative processes while offering direction to MSC personnel.
- Collaborate with medical staff through patient presentations and clinical discussions.
- Continuously assess the effectiveness of ongoing improvement initiatives and identify the need for new programs based on current research findings.
- Manage inventory, project equipment and supply needs for treatments, and submit requests as necessary.
- Ensure the clinic operates safely, maintaining a secure environment and cleanliness of equipment.
- Possess comprehensive knowledge of the organization and service to effectively address inquiries and resolve discrepancies in scheduling or orders.
- Follow detailed guidelines, manuals, and regulations while exercising judgment in applying appropriate policies and procedures.
- Responsible for data collection and validation, ensuring timely correction of errors related to encounters and appointment wait times.
Work Schedule:
Full-time position, 40 hours per week. Specific work schedule to be discussed during the interview.
Requirements:
Applicants must be U.S. citizens and may be subject to a background/security investigation. Proficiency in written and spoken English is required. Participation in seasonal influenza and COVID-19 vaccination programs is mandatory for all Veterans Health Administration personnel.
Qualifications:
Applicants should possess at least six months of experience in clerical, office, customer service, or administrative roles, or have completed one year of education beyond high school. Preferred candidates will have a minimum of one year of supervisory experience.
Physical Requirements:
The role primarily involves sedentary work with occasional moderate lifting and carrying. Candidates should have the ability to read without strain and maintain emotional and mental stability.
