Job Summary

Code Red Consultants is seeking a highly organized and detail-oriented Administrative Assistant to play a key role in our day-to-day office operations. The ideal candidate will have previous administrative experience, strong communication and interpersonal skills, and a "can do" attitude.

Key Responsibilities
  • Manage the company's phones, correspondence, and reception duties.
  • Maintain office inventory and coordinate with vendors to ensure seamless operations.
  • Assist project managers/engineers with administrative tasks, including project data collection, invoice follow-ups, and client communication.
  • Maintain accurate project and client data in our systems.
  • Assist in preparing Request for Qualification (RFQ) documents and updating the qualifications database with resumes and project lists.
  • Provide ad hoc administrative support to business operations staff and assist with office events and initiatives as needed.
Requirements
  • Bachelor's degree and 3+ years of administrative experience (AEC or professional services industry experience is a plus) or equivalent combination of education and related work experience.
  • Proficiency in Microsoft Office Suite and Bluebeam; knowledge of Adobe InDesign is a plus.
  • Ability to multi-task; work well under pressure and effectively meet deadlines.
  • Strong organizational skills and attention to detail.
  • Strong proofreading and data entry skills.
  • Good communication and interpersonal skills and ability to work well with different personalities.
  • Demonstrated initiative, discretion, and personal judgment.
Additional Information
  • Work Environment: In-office with some remote work as approved.
  • Schedule: At least 40 hours Monday – Friday - flexible work schedule (based on business needs).
