Job Summary

We are seeking a highly skilled and organized Administrative Assistant II to join our team at Brigham & Women's Hospital (BWH). As a key member of our healthcare team, you will be responsible for providing exceptional patient care and administrative support to our medical staff.

Responsibilities

  • Processes patients arriving for appointments, verifying appointments and updating online information as necessary
  • Operates computer terminal and is proficient in multiple practice management systems
  • Answers incoming telephone calls in a timely fashion, adhering to organizational and departmental service standards
  • Manages all calls, either by working with the customer or referring the call to the appropriate party
  • Maintains all provider clinical appointment schedules, adjusting them as needed
  • Coordinates patient intake forms and forwards them to the appropriate provider
  • Assists with maintaining space and waiting room in an orderly fashion
  • Collects co-payments, cash receipts, and referrals, performing reconciliation as necessary
  • Directs patients to the appropriate waiting area and provides a brief explanation of what they should expect
  • Monitors the waiting room and related patient flow processes to ensure patients are appropriately served
  • Prepares for the following day's or upcoming day's patient visits by printing appointment schedules and reviewing flag status
  • Performs all check-out functions, including scheduling follow-up visits and providing patients with necessary documentation
  • Performs duties under moderate supervision with intermediate to advanced proficiency in administrative skills
  • Acts as a super user for scheduling, registration, and billing systems, providing training and assistance to others
  • May perform more complex or specialized functions, such as surgical scheduling
  • Utilizes knowledge of HMOs, managed care, and other third-party insurers to troubleshoot insurance issues
  • Assists with training and orienting staff as needed
  • Provides cross-coverage as needed
  • Assists with special projects as directed
  • Follows HIPAA guidelines for the management of patient privacy and confidentiality

Qualifications

  • High school diploma or GED required; post-high school education preferred
  • Minimum one year of applicable work experience required
  • Additional training in office systems preferred

Skills/Abilities/Competencies Required

  • Knowledge of practice operations and standards
  • Understanding of procedures, including filing, copying, scanning, printing, and faxing
  • Ability to use phone system, answer and screen calls, and give routine information
  • Ability to interpret information, answer routine questions, and communicate in a professional, courteous, clear, and concise manner
  • Ability to manage work processes in a neat and orderly way and to sort and alphabetize
  • Ability to manage multiple tasks effectively, follow established protocols, and work within systems
  • Ability to correspond and communicate with others clearly and effectively in writing
  • Ability to type and enter data at an entry level
  • Understanding of the appropriate use and importance of related forms
  • Basic understanding and use of medical terminology
  • Basic comprehension of insurance types and referral process
  • Basic comprehension of registration and fiscal information
  • Knowledgeable and compliant with all hospital, State, and Federal requirements, including policy and procedures with The Joint Commission and HIPAA

Working Conditions

  • Hospital-based ambulatory practice with normal patient environments
  • Exposure to communicable diseases, unpleasant odors, needles, and blood products

Hospital Wide Responsibilities

  • Works within legal, regulatory, accreditation, and ethical practice standards relevant to the position
  • Follows safe practices required for the position
  • Complies with appropriate BWH and Partners policies and procedures
  • Fulfills any training required by BWH and/or Partners, as appropriate
  • Brings potential matters of non-compliance to the attention of the supervisor or other appropriate hospital staff
