Project Management Assistant

Core Responsibilities:
- Project Management: Oversee all aspects of assigned projects, ensuring adherence to quality and efficiency standards.
- Team Support: Collaborate with Project Managers and adapt to changing project requirements.
- Kick-off Coordination: Facilitate initial meetings to clarify project scope and objectives.
- Documentation Management: Secure necessary drawings and specifications from the general contractor.
- Foreman Assistance: Provide schedules, codes, orders, and approved submittals to the foreman.
- Contract Oversight: Ensure letters of intent or contracts are secured prior to project commencement.
- Contract Confirmation: Verify contract execution with relevant stakeholders.
- Drawing Management: Maintain current and accurate project drawings.
- Project Evaluation: Collaborate with the Project Manager and estimator to identify and resolve potential issues.
- Documentation Updates: Supply updated information to the foreman as needed.
- Schedule Assessment: Review and report on upcoming project schedules.
- Progress Tracking: Document job progress through photographic evidence.
- CAD Coordination: Work closely with the CAD department to address any issues with the general contractor.
- Meeting Participation: Attend weekly meetings and site inspections.
- Permit Management: Acquire all necessary permits for project compliance.
- Record Keeping: Maintain approved submittal records for the foreman.
Essential Qualifications:
- Familiarity with Construction ERP systems (Viewpoint/Spectrum).
- Minimum of 3 years of experience in materials estimating for HVAC commercial construction.
- Participation in pre-bid meetings and site walkthroughs as required.
- Proficiency in budgeting for commercial/industrial HVAC projects valued at $5MM and above.
- Strong communication and coordination skills for collaboration with Project Managers and vendors.
- Technical ability to read schematics and blueprints, manage Excel spreadsheets, and monitor project progress.
- Effective reporting skills for documentation purposes.
Knowledge Requirements:
- Understanding of HVAC systems including VRF, VAV, split systems, packaged units, DDC, controls, DOAS, ERVs, kitchen hoods, and hot/chilled water systems.
- Physical capability to lift and move items weighing up to 25 lbs.
