Job Summary

We are seeking a highly motivated and detail-oriented Administrative Support Specialist to join our team at BCforward. The successful candidate will provide administrative support to the Finance Department, ensuring the smooth operation of our office.

Key Responsibilities
  • Provide administrative support to the Finance Department, including creating and distributing documents, maintaining filing systems, and checking and sorting materials.
  • Make arrangements for board/committee meetings, prepare agendas, meeting notices, and minutes, and coordinate meeting broadcasts.
  • Assist in carrying out organizational and communication tasks on behalf of committees that work directly with the Chief Financial Officer.
  • Receive, process, reconcile, and maintain files for all Town gift accounts, including accounting and reporting of a large volume and variety of funds.
  • Prepare and process documents related to procurement and payables for all aspects of the Finance Department.
  • Maintain, organize, and update all Facilities capital projects plans and spreadsheets to maintain accurate records within town-wide software systems.
  • Perform special projects and related responsibilities as initiated and requested.
Requirements

The ideal candidate will have a high school diploma or equivalent and 1-2 years of experience in an administrative role. Strong communication and organizational skills are essential, as well as the ability to work independently and as part of a team. Proficiency in Microsoft Office and municipal financial software is required.
