Job Overview

We are seeking a highly skilled Supply Coordinator - Sourcing & Acquisition to join our team. This role will support the Supply Acquisition Leads in identifying and curating high-quality, in-demand experiences hosted by expert hosts.

Key Responsibilities
  • Project Coordination: Assist in planning, production, and execution, including managing timelines, schedules, milestones, budgets, and action items across various inputs.
  • Industry Awareness: Stay up to date with trends and best practices in the entertainment and travel industries and contribute innovative ideas.
  • Source Supply: Work with Leads to source supply and potentially conduct early outreach for experience hosts.
  • Inclusivity: Foster a respectful, supportive, and inclusive environment for team members and stakeholders.
  • Review Leads: Ensure vendor-sourced leads meet supply standards and quality guidelines.
  • Stakeholder Communication: Facilitate effective communication across teams and senior leadership, providing regular updates and addressing issues.
  • Meeting Coordination: Support program management of vendor calls, maintain agendas, and track milestones.
  • Project Documentation: Create and maintain project briefs, schedules, budgets, estimates, resource plans, and status updates.
  • Weekly Updates: Develop and distribute internal project updates tracking goals and progress.
  • Presentation Development: Assist in creating visually appealing presentations showcasing supply examples and project progress.
  • Information Coordination: Manage data tracking in systems like Salesforce.
  • Vendor Management: Liaise with vendors, manage contracts, and oversee deliverables.
  • Training Support: Help vendors integrate into data tracking systems and answer training-related questions.
  • Experience Participation: Attend a minimum of 3 experiences per month to provide first-hand feedback and improvements.
Qualifications
  • 6+ years of experience in experiential production coordination, project management, or related fields.
  • Bachelor's degree or equivalent experience in entertainment design, creative advertising, event production, experiential marketing, or similar fields.
  • Strong project management skills with the ability to manage multiple projects simultaneously.
  • Flexibility to adapt to a fast-paced and dynamic environment.
  • Creative thinker with innovative ideas for entertainment and travel experiences.
  • Excellent verbal and written communication skills, including presentation and public speaking skills.
  • Proficiency with project management and documentation tools.
