Job Summary:

Covenant Health (Tennessee) is seeking a skilled Patient Registration Specialist to join our team at Claiborne Medical Center. As a key member of our Admitting and Registration department, you will be responsible for coordinating the centralized scheduling of outpatient diagnostic and surgical procedures, ensuring accurate collection and data entry of financial and demographic information, and verifying benefits and pre-certification requirements.

Key Responsibilities:

  • Collect co-payments and deposits based on verification information obtained, generate receipts, and deliver cash transactions to the cashier for proper posting.
  • Maintain strict confidentiality of patient information.
  • Recommend updates to existing policies and procedures to support our values and increase efficiency.
  • Notify the Financial Counselor of potential self-pay, workers' compensation, or non-covered procedures.
  • Make patient type changes based on information from Medical Records Staff and/or Care Coordinators.
  • Ensure all reservations are properly documented to support departmental statistics.
  • Schedule operative and diagnostic procedures, document each procedure with detailed information, and notify departments of special resources required.
  • Verify insurance benefits and obtain pre-certification from third-party payers, providing necessary documentation to DHS and Med Assist staff.
  • Gather demographic, medical, and financial information for scheduling, registration, and verification of patient accounts.
  • Participate in clinical and care management areas to improve overall collections and cash flow.
  • Analyze claims denial data to achieve improved collections, enhance relations with insurance companies, and improve workflow process.
  • Report procedural changes and updates to leadership.
  • Deal professionally with patients, physicians, visitors, and hospital staff.
  • Stay up-to-date with regulatory and insurance requirements, ensuring changes are incorporated in daily job functions.
  • Assure the registration process is handled in a professional manner, maintaining a registration accuracy rate of 95-100%.
  • Explain necessary information to patients and families, such as consent for treatment, advance directives, and billing policies.
  • Recognize situations requiring supervision and seek appropriate resources.
  • Direct, escort, and/or provide wheelchair assistance to patients upon completion of the registration process.
  • Perform pre-registration processes using phone and mail techniques, advising patients of co-pay or deductible amounts due upon admission.
  • Maintain an accurate bed board, utilizing the computerized bed tracking system to minimize wait times for admitted patients.
  • Coordinate with Nursing Services the flow of inpatient and observation patient admissions.
  • Display competence in using Information Computer Systems that supply information regarding patient registration and scheduling.
  • Update schedules daily of unexpected procedures, cancellations, or changes, and communicate with affected individuals.
  • Show initiative to cross-train in duties related to scheduling, registration, verification, and pre-certification.
  • Prepare patient account folders by scanning vital registration/scheduling/verification documents into the optical imaging system.
  • Demonstrate promptness in reporting for and completing work, ensuring follow-through on assigned tasks.
  • Handle varying tasks and set priorities.
  • Utilize resources available appropriately, such as hospital equipment and supplies.
  • Activate manual systems for computer network downtime, printing schedules in advance when necessary.
  • Coordinate scheduling of classrooms for meetings, conferences, etc., ensuring confirmation for the correct date and time.
  • Follow policies, procedures, and safety standards, completing required education assignments annually.
  • Work towards achieving goals and objectives, and participate in quality improvement initiatives as requested.

Requirements:

  • Minimum education: High school diploma or equivalent, or any combination of formal education and/or prior work experience sufficient to demonstrate possession of the knowledge, skill, and ability needed to perform the essential tasks of the job.
  • Minimum experience: One year of experience in a hospital or financial setting, or minimum three years of total customer-facing/customer service experience.
