Position Overview


The Regional Operations Coordinator (ROC) plays a vital role in delivering essential administrative, operational, and customer service assistance to our branch locations, leadership, and agents.

The ROC team collaborates effectively, dedicating time each week across various offices, offering support in numerous capacities including, but not limited to, managing agent transactions, serving as a liaison with our diverse departments and business partners, general office management, and customer service.

This role is instrumental in advancing our core principle of enabling our agents to lead exceptional lives.


Key Responsibilities:

Office Management (includes, but is not limited to):
In partnership with our facilities and IT teams, ensure all office equipment remains operational

Maintain adequate inventory of office supplies and ensure organization, distribute mail as necessary

Welcome and guide agents/customers as required

Agent Assistance (includes, but is not limited to):
Deliver premium service for agents and clients visiting our offices, highlighting the teams available to assist them in their business endeavors

Assist agents with any technology, procedural, or operational inquiries

Foster a welcoming, inclusive office environment that reinforces our agent value proposition

Collaborate with the Agent Onboarding Team as necessary to facilitate the onboarding process

Transaction Support (non-CES) (includes, but is not limited to):

Ensure efficient and accurate processing of agent transactions—timely commission payments and avoidance of adjustments

Digitally scan physical checks as required

Act as the primary contact for following up on missing documentation or escalating transactional issues.

Database entry and updates – MLS, Transaction Manager

Ensure compliance and completeness of agent transactions, ensuring timely commission payments and minimizing adjustments

Conduct systems reviews of Trident and transaction manager, submitting issue resolutions through OnBase

Assist with local Board Award Applications

Prepare monthly Agent recognition

Branch Leadership Support (includes, but is not limited to):
Assist the Branch Manager with maintaining office promotional materials, organizing sales meetings, new agent orientations, and fostering office culture

Additional Responsibilities:
Manage agent and company MLS and Board Memberships and Recognition

Provide administrative support for the Coldwell Banker Cares Foundation

Qualifications:

1 or more years of customer service experience preferred; prior experience in a real estate office is advantageous.

Strong written and verbal communication skills

Technologically adept in all areas, including familiarity with various operating systems on PCs and Macs, and proficient in navigating software applications.

Proficient in Microsoft Office

Ability to communicate effectively with diverse audiences, including agents, branch managers, and operational support teams.

Customer-focused, results-oriented, with the ability to manage multiple tasks simultaneously.

Willingness to be adaptable and adjust priorities as necessary.
