Job Description

IT Specialists is seeking a highly motivated and detail-oriented Business Administration Associate to support various administrative and operational tasks within the company.

Key Responsibilities
  • Assist in the coordination and execution of administrative tasks and processes.
  • Support project management activities, including monitoring project timelines, tracking deliverables, and providing status updates.
  • Conduct research and analysis to support business decision-making.
  • Assist in preparing reports, presentations, and other business-related documents.
  • Manage and maintain accurate records and documentation.
  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Provide Executive Assistance to the COO and Executive Staff.
  • Collaborate with team members to improve efficiency and implement process improvements.
  • Handle financial operations tasks, including creating invoices, managing and tracking client billable, and ensuring timely billing processes.
  • Oversee the ordering and management of office and IT hardware, ensuring that resources are efficiently allocated and maintained.
  • Play a key role in budget tracking and financial reporting, working closely with the finance department to maintain financial health of the organization.
Requirements
  • Bachelor's degree in Business Administration, Management, Finance, or a related field.
  • Previous experience in a business administration, financial operations, or administrative support role is preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a strong emphasis on Excel for financial tracking and reporting.
  • Ability to work independently and collaboratively in a team environment.
  • Detail-oriented with strong problem-solving skills.
  • Ability to prioritize tasks and meet tight deadlines.
  • A proactive approach to identifying and solving issues related to business and financial operations.
