Position Summary:
We are seeking a skilled Project Management Specialist to assist Project Managers in coordinating ongoing project tasks. This role is pivotal in overseeing project plans, administrative functions, and controls associated with various projects. The ideal candidate will demonstrate the ability to thrive under tight deadlines, possess exceptional verbal and written communication skills, and actively participate in project meetings. Responsibilities include documenting and following up on key actions and decisions, ensuring high levels of organization, and providing necessary administrative support.
Key Responsibilities:
- Developing and managing transmittals, logs, and correspondence.
- Organizing project folders on servers and within document management systems.
- Overseeing Requests for Quotes (RFQ), including preparation and distribution of Bid Tabs.
- Creating inventory parts and entering project demands into the company's ERP system.
- Maintaining purchase order (PO) files, liaising with suppliers, and managing incoming correspondence.
- Expediting purchase orders and updating open PO reports.
- Receiving and distributing engineering document submittals for review and approval.
- Managing the Outlook Calendar for the engineering department.
- Assisting in tracking and processing project invoices.
- Supporting the Accounting & Finance department with project-related documentation.
- Overseeing Engineering Change Orders (ECO) and Root Cause Analysis (RCA) processes.
- Ordering general office supplies for the engineering team.
- Collaborating with Project Managers to fulfill additional administrative requests for the Project and Construction Teams.
Qualifications:
- Proven ability to organize and execute project activities effectively.
- Strong communication skills across various levels of expertise.
- Proficiency in standard software applications: Excel, Word, Outlook, PowerPoint, MS Teams.
- In-depth knowledge of project administration tasks.
- Familiarity with engineering and construction project processes.
Education and Experience:
- A Bachelor of Science Degree is advantageous but not mandatory.
- A minimum of 5 years of experience in project-related roles.
- Experience with IFS, SOP, or similar ERP systems is preferred.
