Compensation:

Key Responsibilities:
  • Develop, implement, and oversee systems for client management, lead generation, database organization, and administrative support.
  • Coordinate marketing initiatives and client engagement activities.
  • Manage all listing documentation and marketing materials (brochures, flyers, online promotions, etc.).
  • Oversee office operations.
  • Act as a liaison between clients and real estate agents.
  • Engage in training sessions provided by the company.
  • Compile and distribute regular reports to clients (both buyers and sellers).
  • Oversee the contract-to-close process.
  • Create and maintain an operations manual detailing all systems and standards.
  • Serve as the primary point of contact for customer inquiries and concerns.
  • Establish and maintain a comprehensive lead follow-up system.
  • Keep agents informed about ongoing challenges and issues that require attention.
  • Deliver exceptional customer service to clients and customers.
  • Collaborate with preferred vendors, including photographers and contractors.
  • Schedule appointments and manage executive calendars.
  • Handle extensive email correspondence.
  • Establish and maintain both electronic and physical filing systems.
  • Mail and courier documents as necessary.
  • Order office supplies and maintain office equipment.
  • Handle sensitive information with confidentiality.
  • Respond to inquiries via email, phone, or in person.
  • Resolve administrative challenges as they arise.
  • Receive, sort, and distribute incoming mail.
Qualifications:
  • Maintain the goodwill and reputation of the entire team.

  • Possess a strong background in real estate.

  • Prior experience as a Transaction Coordinator in real estate is essential.
  • Demonstrate technological proficiency and the ability to quickly learn new software; familiarity with Word, Excel, PowerPoint, Outlook, and internet applications is required.
  • Exhibit strong attention to detail and high accuracy in document management.
  • Be committed to executing tasks correctly on the first attempt.
