Position Title: Central Operations Dispatcher

Department: Planning

Reports To: Senior Director, Planning / Dispatch Supervisor

Position Summary

The Central Operations Dispatcher is responsible for orchestrating and implementing a streamlined and profitable operation, ensuring optimal scheduling of personnel.

Key Responsibilities

  • Maintain constant communication with drivers throughout the operational day; available 24/7 for on-call support.
  • Assist in confirming packing, loading, and delivery schedules through effective coordination and planning.
  • Review daily assigned shipments with drivers to ensure clarity and efficiency.
  • Order necessary packing materials through service centers or vendors via a structured purchase order system.
  • Ensure that Certified Background Check (CBC) labor is secured and documented by the assistant.
  • Input metric scores into the secure Budd Net system.
  • Process Comdata requests for funds related to company drivers, including labor, accommodations, fuel, and other expenses.
  • Complete job order tracking sheets and estimates for owner-operators for review and cash advance purposes.
  • Assist drivers in resolving issues by coordinating with inter-departmental staff, including coordinators and planning teams.
  • Update move line notes as necessary.
  • Schedule parking permits and obtain necessary approvals through coordination.
  • Reserve shuttle services, one-way truck, and tractor rentals from major rental companies.
  • Coordinate additional authorizations for packing and weight overages with planning teams.
  • Interface with general managers and warehouse personnel to ensure smooth operations.
  • Schedule shipments into and out of storage in collaboration with warehouse managers and agents.
  • Support fleet management by ensuring drivers' logs, licenses, and medical cards are up to date.
  • Manage driver time-off requests efficiently.
  • Update Docuware with images provided by drivers, including tare and gross weights, as well as shuttle documentation.
  • Perform additional tasks as assigned by the Senior Director of Planning.

Qualifications and Skills

  • Experience: 2-4 years in dispatch within the moving industry.
  • Education: Bachelor's degree preferred.
  • Technical Skills: Proficient in MS Office Suite (Excel, Access, Word) and database management.
  • Other: Exceptional communication skills, self-motivated, and highly detail-oriented.
