Sales Proposal Coordinator Job Description

Olameter Corporation is seeking a highly skilled Sales Proposal Coordinator to join our team. As a key player in supporting both marketing and sales functions, this role is responsible for creating high-quality proposals, presentations, and marketing materials within company guidelines.

Key Responsibilities:
  • Facilitate the response process for formal RFQs, RFPs, and associated presentations, developing materials with the assistance of the director and project team.
  • Collaborate with marketing, sales, operations, and executive teams to gather necessary information, ensure compliance, and develop information for submitting proposals.
  • Lead communication and organization to ensure RFPs are submitted prior to strict deadlines.
  • Evaluate technical content and write/edit proposal sections according to company specifications.
  • Work directly with customers and primes to address questions pertaining to open and lost RFPs and RFQs.
  • Create/Upload/Update/Maintain records of bids and contracts in Salesforce.
  • Monitor bid websites to identify relevant opportunities, distribute bid information to internal teams, and ensure adherence to deadlines and bid requirements.
  • Play a key role in determining the strategic theme for proposal responses and marketing presentation.
  • Work effectively within the company's marketing objectives and assist in marketing projects, including creating support materials, brochures, postcards, and company resumes, as needed.
  • Keep accurate and up-to-date customer lists for Olameter.
  • Research prospective customers and cold call, scheduling introductory meetings for the sales team.
  • Support the VP of Administration in helping to facilitate the company's sales and marketing objectives, including social media posting, website updates, marketing material updates, etc.
Requirements:
  • Bachelor's Degree in business.
  • Previous demonstrated experience using InDesign.
  • Previous experience with Salesforce is a plus.
  • Prefer three (3) years of high-level/executive administration experience in a fast-paced environment.
  • Advanced word processing skills and proficiency in Microsoft Office suite.
  • Previous experience in the utilities industry a plus.
  • Advanced familiarity with RFI/RFP processes and procedures.
  • Editing and templating competencies.
  • Strong command of the English language and good communication skills.
  • Solid leadership, time management, and critical thinking skills.
  • Travel 50% of the time.
