Job Overview

Position Title: Animal Admissions Specialist

Status: Non-Exempt

Primary Objective: Act as a key admissions consultant, addressing public inquiries, engaging directly with animals, and ensuring exemplary customer service. Provide support and empathetic care to individuals surrendering animals to the organization. Manage animal intakes and evaluations to establish appropriate next steps for placement.

Reports To: Admissions Manager

Supervises: Volunteers

Key Responsibilities:
  • People Engagement: Set a standard for interaction, prioritizing the needs of both internal and external stakeholders (employees, volunteers, partners, and community members). Maintain clear, professional, and respectful communication across all platforms, including face-to-face, phone, and email. Foster a collaborative team environment, addressing conflicts constructively and expressing concerns appropriately.
  • Customer Service Excellence: Provide outstanding service to community members through the Admissions Center, handling animal admissions, follow-up appointments for adoptions, foster volunteer scheduling, and assisting with Lost & Found inquiries. Navigate emotionally challenging situations with effective communication and empathy.
  • Animal Intake Services: Facilitate daily animal relinquishment and stray intake processes. Collaborate with patrons to collect information for creating animal records in the database. Safely manage and transport animals, administer vaccinations, microchips, and preventive medications. Conduct evaluations to assess health and behavior, and provide end-of-life services when requested by owners.
  • Lost & Found Assistance: Support community members in locating lost animals and facilitate reunions. Regularly update the shelter database with photos of lost and found animals.
  • Animal Care Coordination: Collaborate with the veterinary services team to ensure prompt care for sick, injured, or distressed animals.
  • Financial Management: Adhere to daily cash handling protocols and prepare financial transaction statements and deposits.
  • Admissions Center Maintenance: Ensure the admissions center is clean, organized, and welcoming, while managing donations and supplies effectively. Maintain cleanliness in evaluation and intake areas according to industry standards.
Additional Responsibilities:
  • Operational Support: Provide assistance within the Operations division as necessary. This may include performing euthanasia and related tasks, vehicle training for animal transport, and supporting Field Services team members during emergencies as per organizational protocols.
  • Other Assigned Duties: Participate in organization-wide initiatives such as events, fundraising, and disaster response efforts as needed.
Work Environment:
  • Indoors and outdoors as required.
  • Utilization of computer systems, databases, and telephone equipment. Employ all necessary animal handling tools and shelter-related medical equipment.
  • Availability for 40 hours a week, including potential overtime, weekends, and holidays based on operational needs.
Physical and Mental Demands:
  • Ability to handle and restrain animals of varying sizes and temperaments, with exposure to potential bites or scratches. Work in environments with high noise levels and exposure to cleaning agents, dust, and animal dander.
  • Must be capable of driving company vehicles, including animal transport trucks, and pass a driving background check.
  • Maintain professionalism and composure in emotionally charged situations, effectively resolving conflicts.
Qualifications:
  • Skills/Knowledge: Proven customer service experience, strong organizational skills, and attention to detail. Ability to thrive in a fast-paced environment with excellent verbal and written communication skills.
  • Education: High school diploma or equivalent.
  • Experience: At least one year of customer service experience and animal handling preferred.
