Role Responsibilities

The Administrative Support Specialist will serve as the initial point of contact for our organization, providing essential administrative assistance throughout the company. Key responsibilities include:

  • Processing vendor payables, subcontractor payments, and employee reimbursements by entering, routing, reviewing, and posting transactions in our ERP system, Spectrum.
  • Scanning and filing supporting documents into the system.
  • Managing credit card transactions and reconciling statements.
  • Ensuring tax compliance by collecting necessary documentation.
  • Matching purchase orders with vendor invoices and reviewing batches prior to posting.
  • Answering and directing phone calls in a courteous manner, screening calls as needed.
  • Welcoming and guiding visitors and clients.
  • Sorting and distributing incoming and outgoing correspondence.
  • Overseeing office supply requests and maintaining inventory.
  • Acting as a liaison for facility-related issues with the Shop Manager.
  • Maintaining kitchen supplies and ensuring daily cleanliness.
  • Regularly checking conference rooms for tidiness and supply levels.
  • Coordinating meal orders for meetings as required.
  • Watering plants at the office entrance.
  • Performing additional duties as assigned.

Qualifications

  • High School Diploma or GED.
  • Driver's License preferred.
  • A minimum of 4 years of comprehensive accounts payable experience, ideally within the construction sector.
  • Familiarity with accounts payable workflow and approval processes.
  • Proficient in Microsoft Office applications.
  • Ability to adapt and learn business processes while suggesting improvements.
  • Experience with standard office equipment, including multi-line phone systems, fax machines, and copiers.
  • Strong attention to detail with proven analytical and problem-solving abilities.
  • Capability to manage multiple priorities effectively while maintaining composure under pressure.

Work Environment and Physical Requirements

The ideal candidate should be adaptable to the following physical demands and working conditions:

  • Ability to navigate the job site as necessary.
  • Capable of moving work-related equipment weighing up to 10 lbs.
  • Ability to remain stationary for extended periods.
