Job Overview:


Support the Sales Director, Sales Managers, and Catering Manager in ensuring customer satisfaction by executing clerical and administrative tasks related to guest and hotel communications through the sales team, along with light sales responsibilities for small groups and events.

The role may also involve assisting with light sales tasks for small groups and events as directed by the Sales Director.


Key Responsibilities:

Qualifications:
A High School diploma or equivalent is mandatory, with preferred coursework in a related field. Experience in the hospitality industry or a similar field is also advantageous.

Ability to type at least 55 words per minute.

Proficient in Microsoft operating systems, including OnQ and Sales Pro Enterprise.

Must effectively communicate information and ideas clearly.

Ability to quickly and accurately evaluate and select among alternative courses of action.

Capable of working efficiently in high-pressure situations.

Must maintain composure and objectivity under stress.

Proficient in identifying, preventing, and solving workplace issues as necessary.

Ability to assimilate complex information from various sources and adjust to meet specific needs.

Effective listening skills to understand, clarify, and resolve concerns raised by colleagues and guests.

Must be able to interpret financial information and perform basic arithmetic functions.

Job Duties:
Approaches all interactions with guests and associates in a friendly, courteous, and service-oriented manner.


Maintains regular attendance in accordance with company standards, which may vary based on hotel needs.

Possible weekend and holiday shifts may be required based on business demands.


Upholds high standards of personal appearance and grooming, including adherence to the company dress code and wearing a name tag while on duty.

Complies with company standards and regulations to promote safe and efficient hotel operations.

Organizes sales files in accordance with specified standards.

Maintains the Accounts Coverage Program as applicable.


Demonstrates awareness of established departmental goals and the role played in the sales process to achieve and exceed these objectives.


Handles incoming inquiry calls professionally, ensuring all inquiries are addressed accurately and promptly.

Types sales contracts, correspondence, reports, and other documents as needed by the sales team.

Maintains a lead log and statistics for strategic outbound sales efforts.

Ensures the sales system (e.g., Delphi SalesPro) is consistently accurate and functioning properly.

Assists managers with creative projects, including proposals, direct mail pieces, invitations, and special events.

Facilitates timely communication and paper flow within the department and with other departments.

Manages the distribution of sales contracts to the client team and relevant department heads.

Quotes prices for meeting inquiries and collaborates with sales leadership to manage small groups and meetings.

Works with sales leadership to detail upcoming functions, obtain guarantees, and confirm arrangements as needed.

Distributes necessary documents to relevant departments concerning meetings and groups.

Assists guests and clients with requests and completes necessary paperwork for management.

Conducts site inspections for the department as required.

Enters group pickup data into the sales system daily and updates preferred production monthly.

Maintains a consistent flow of thank-you letters for groups/functions and distributes them accordingly.


Monitors and orders office supplies and sales materials to ensure proper stock levels at all times.

Contacts clients for guarantee numbers for functions and manages related tasks.

Organizes in-house deliveries, welcome letters, and transportation schedules as needed.

Participates in sales meetings, taking minutes and distributing them as necessary.


Performs other tasks related to the sales and marketing efforts of the hotel and any additional duties assigned by management.

Familiar with all company sales policies and house rules.

Ensures associates consistently provide attentive, friendly, helpful, and courteous service to all guests, managers, and fellow associates.

Any other duties as assigned by the Sales Director specific to the property.

Compensation:
Minimum: USD $12.00/Hr.

Midpoint: USD $22.28/Hr.

Maximum: USD $26.74/Hr.
