Job Summary

The City of Tualatin is seeking a highly skilled and customer-focused Permit Coordinator to join our team. As a Permit Coordinator, you will play a critical role in ensuring the smooth processing of building permits and providing exceptional customer service to our community.

Key Responsibilities
  • Manage complex work assignments and prioritize tasks to meet deadlines
  • Provide high-quality customer service to internal and external customers, ensuring timely and accurate processing of permits
  • Coordinate with developers, builders, and City staff to facilitate permit processing and resolve issues
  • Process applications, permits, and receipts for various types of building permits, including residential, industrial, and commercial
  • Calculate permit fees and system development charges, and perform quality control reviews on documentation and computer data input
  • Assist the Building Official with special projects and provide lead support and guidance to other permit staff
  • Research and provide storm and sanitary sewer location information, and interpret plot plans to ensure code compliance
  • Provide information on the application and permitting process, technical information, and building and other municipal codes
  • Monitor and maintain an adequate supply of informational materials and track expiration dates on permits
  • Prepare and mail letters of pending expiration to applicants, calculate, collect, process, and record fees, and process credits and prepare related reports
  • Transcribe inspection requests from a recorder to a computerized system and prepare necessary documents
  • Collect data and provide reports for the Building Official on monthly, quarterly, and yearly permitting data
  • Assist in resolving complex and sensitive customer service issues, either in person, by telephone, or in writing
Requirements
  • Minimum of three to five years of progressive experience in discipline-specific clerical/office skills, with a minimum of one year experience in a building codes, construction, or architectural support services environment
  • Ability to read and interpret documents, write routine reports and correspondence, and speak effectively before groups
  • Ability to perform complex mathematical calculations, including calculation of square footage, proportions, percentages, area, circumference, and volume
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form, and deal with problems involving several concrete variables in standardized situations
  • Working knowledge of word processing, spreadsheet, financial, and permitting software, and ability to operate a personal computer and type accurately
  • Knowledge of state and city specialty codes, rules, ordinances, and legal descriptions, and knowledge of building construction principles, procedures, and terminology
  • Ability to organize, file, track, monitor, and maintain records, and operate standard office equipment such as a calculator, typewriter, and telephone
  • Strong ability to multi-task and deal with frequent interruptions, and skill in coordinating inter- and intra-departmental functions cooperatively and tactfully
  • Ability to establish and maintain effective working relationships with the public and other employees
Preferred Qualifications
  • Associate's Degree or higher in land use, building technology, or a closely related field
  • Certification as a Permit Technician, or ability to obtain certification within six months of hire
