The Healthcare Service Coordinator is expected to perform all responsibilities in alignment with CHC's Service Standards, which emphasize being Respectful, Responsible, and Responsive.

KEY RESPONSIBILITIES:

  • Oversee daily office operations to ensure smooth workflow.
  • Maintain a prominent presence in the office to monitor patient flow, address inquiries promptly, and resolve service-related issues.
  • Guide the Patient Service Representatives in their duties, providing constructive feedback and ensuring effective office coordination.
  • Address patient service challenges as they arise and escalate issues to management when necessary.
  • Assist in managing patient appointments and provider schedules to optimize service delivery.
  • Ensure timely handling of tasks from the patient portal and promote its usage among patients.
  • Collaborate with management to develop and implement new processes that enhance operational efficiency.
  • Foster open communication and strong working relationships with healthcare providers.
  • Act as a liaison between the front office staff and healthcare providers, facilitating effective collaboration.
  • Assist in training and coaching front office staff on best practices in customer service.
  • Maintain inventory of office supplies and ensure a well-organized workspace.
  • Adhere to HIPAA regulations and ensure patient confidentiality at all times.
  • Demonstrate empathy and attentiveness to patient needs, ensuring a supportive environment.
  • Comply with all safety protocols and report any workplace incidents to management.
  • Perform additional duties as assigned by management.

QUALIFICATIONS:

Education:

  • High School diploma or equivalent experience required.
  • Associate's Degree or Certified Medical Assistant credential preferred.
  • Two to three years of experience in a healthcare office setting is preferred.

Work Experience:

  • Experience in office management with demonstrated leadership capabilities.
  • Familiarity with medical terminology is essential.
  • Valid driver's license and a clean driving record are required.
  • Bi-lingual in Spanish is a plus.

Skills:

  • Exceptional customer service skills and cultural competency.
  • Strong organizational, analytical, and interpersonal skills.
  • Proficient in written and verbal communication.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficient in EHR and Practice Management software, as well as Microsoft Office applications.

This role involves interaction with patients in a medical office setting, adhering to OSHA and HIPAA regulations. The position requires the ability to work under pressure and engage with a diverse patient population. Exposure to various health-related conditions is common, and staff must be prepared for the demands of a busy healthcare environment.
