About the Position

Kenco Fleet Services, LLC is seeking an experienced Invoice Operations Manager to oversee the day-to-day operations of our invoicing team. As an Invoice Operations Manager, you will be responsible for improving performance, productivity, efficiency, and profitability through the implementation of effective methods and strategies.

Key Responsibilities

  • Oversee and manage a team of Invoice Specialists, providing guidance and support to ensure efficient workflow and adherence to deadlines.
  • Implement and maintain continuous improvement in every area of operations measured in terms of efficiency.
  • Ensure accurate and timely invoicing for all customers, maintaining a high level of quality and compliance with company policies.
  • Manage special projects as required.
  • Collaborate with Accounts Receivable and Accounts Payable teams to resolve billing discrepancies and ensure accurate financial records.
  • Manage the processing of credit memos and adjustments as needed, ensuring proper documentation and approval procedures are followed.
  • Ensure set up of new customers is complete and accurate.
  • Monitor and analyze billing processes, identifying opportunities for process improvements and automation.
  • Act as a liaison with other departments to ensure seamless communication and resolution of invoicing issues.
  • Maintain a thorough understanding of company products, services, and customer contracts to ensure accurate billing and contract compliance.
  • Be a super user of Equipsoft, helping resolve issues for both Invoice Specialists and the Service Department.
  • Serve as a subject matter expert on billing systems and processes, providing training and support to team members as needed.
  • Prepare regular reports and metrics on billing operations, providing insights and recommendations to management for decision-making.
  • Other applicable duties as assigned.

Qualifications

  • Bachelor's degree in business administration or related field required.
  • Proven experience with 4-6 years in invoice management or related financial roles, with a track record of overseeing billing operations.
  • 1-2 years of demonstrated team leadership experience preferred.
  • Strong understanding of accounting principles and practices, particularly in billing and accounts receivable.
  • Ability to work independently with the capability to prioritize assignments.
  • Excellent communication skills (written, verbal, etc.).
  • Ability to communicate with senior management both internally and externally.
  • Efficient with MS Word, Excel, PowerPoint.
