Job Overview

The Financial Operations Specialist plays a crucial role in supporting the Finance Team by ensuring that financial information is accurately and promptly recorded in line with established accounting standards. This position requires a detail-oriented individual with strong organizational and communication skills, committed to the values of compassion, service, and integrity.

Key Responsibilities

The primary duties of the Financial Operations Specialist include:

  • Performing data entry and journal entries for Accounts Payable, Accounts Receivable, and Fixed Assets using QuickBooks.
  • Conducting account reconciliations for Accounts Payable, Accounts Receivable, Bank accounts, Fixed Assets, and Petty Cash.
  • Managing the Petty Cash account efficiently.
  • Assisting with bookstore and donation box counts, as well as bank deposits.
  • Recording bookstore transactions and preparing the monthly Sales & Use Tax Report.
  • Preparing invoices with accurate account classifications and verifying purchase orders as necessary.
  • Assisting in the preparation of designated audit schedules.
  • Generating Contributions Reports and ensuring timely follow-up with donors.
  • Maintaining office equipment, including copiers and postage meters.
  • Organizing and managing office files.
  • Executing additional bookkeeping and administrative tasks as assigned.
Qualifications

To be considered for this role, candidates must possess:

  • A minimum of a Bachelor's Degree in Accounting, Finance, or Business from an accredited institution.
  • 2-4 years of bookkeeping or accounting experience, preferably in a nonprofit or small business environment.
  • A solid understanding of generally accepted accounting principles.
  • Proficiency in QuickBooks, Microsoft Office 365, and Excel.
  • Strong attention to detail and exceptional organizational skills.
  • The ability to multitask and meet deadlines effectively.
  • A collaborative mindset and the ability to work positively with others.
  • A commitment to confidentiality and high ethical standards.
  • Excellent written and verbal communication skills, along with strong problem-solving and analytical abilities.
Work Environment

This position is based in an office setting, requiring the ability to sit, stand, bend, lift, and move intermittently throughout the workday. Interaction with staff, visitors, and vendors is expected under various conditions. A flexible work schedule may be necessary.
