General Overview:
Under limited supervision, this role encompasses a range of intricate administrative tasks to support various services within the Department of Behavioral Healthcare Services, including Intellectual and Developmental Disabilities, Medication Management, Opportunity House, Central Intake/Same Day Access, and Substance Use Disorder services.

Key Responsibilities:
1. Execute administrative tasks such as compiling information from typed or handwritten documents for case preparation, correspondence, reports, and schedules.
2. Maintain calendars, schedule appointments, and assist staff with document management in consumer records.
3. Utilize data entry systems and word processing software to manage files and retrieve information as needed.
4. Input and manage consumer behavioral health records and confidential information in the electronic system; handle case initiation, updates, and closures.
5. Prepare detailed reports of activities and ensure compliance with HIPAA regulations to protect client information.
6. Maintain policy manuals and directories by updating revisions and clarifications from relevant authorities.
7. Answer phone calls and greet visitors, providing information and directing inquiries to appropriate personnel.
8. Assist with payroll documentation, including timesheets and leave requests.
9. Sort and distribute incoming mail, manage office supplies, and assist in orientation for consumers regarding their rights and responsibilities.
10. Collaborate with behavioral healthcare professionals, legal guardians, and medical staff.
11. Document clinical correspondence in Electronic Health Records (EHR) and assist with the preparation of accreditation reports.

Qualifications:
1. High school diploma or equivalent with 3-5 years of relevant clerical experience; or an equivalent combination of education and experience.
2. Preferred experience with payroll, billing, coding, and EHR systems.

Skills and Abilities:
- Strong knowledge of office practices, regulations, and procedures.
- Proficient in operating office equipment and software.
- Ability to make independent decisions and solve problems effectively.
- Excellent communication skills, both verbal and written.
- Strong organizational skills and attention to detail.

Physical Requirements:
- Ability to operate various office machinery and exert up to 20 pounds of force occasionally.
- Capable of maintaining a clean and orderly workspace.
