Position Summary:

Under the general supervision of the Rental Supervisor, the Rental Coordinator is responsible for managing short-term rental equipment, facilitating equipment rentals from the Hawthorne Machinery rental fleet, and compiling necessary information for reporting purposes.

Key Responsibilities:

  1. Provide customers with quotes for daily, weekly, and monthly rental rates and process equipment rentals.
  2. Clearly explain rental terms and conditions to customers.
  3. Prepare rental agreements, insurance forms, invoices, and all necessary documentation to finalize transactions.
  4. Coordinate the delivery and/or pickup of equipment with the shop or contracted haulers.
  5. Track all equipment currently rented and maintain accurate records of the rental fleet.
  6. Log daily activities and contact customers for billing when equipment is not returned by the specified date.
  7. Handle payment collection for cash customers.
  8. Process equipment returns, issue credits, and manage additional billing as required.
  9. Inspect returned equipment for damage and coordinate with service for fueling and repairs.
  10. With Rental Supervisor approval, advise customers on repair costs for damaged equipment.
  11. Compile rental activity data and prepare monthly equipment utilization reports.
  12. Recommend equipment models for addition or removal from the rental fleet.
  13. Provide courteous and diplomatic service to customers.
  14. Maintain positive working relationships with customers and colleagues.
  15. Ensure effective communication with all contacts.
  16. Promptly address messages and provide sufficient information to all callers in a courteous manner.
  17. Maintain accurate equipment records both manually and electronically.
  18. Keep management informed on all significant matters.
  19. Possess strong knowledge of Hawthorne Machinery rental services.
  20. Understand and comply with company credit policies.
  21. Submit lost rental reports in a timely manner.
  22. Act as the Administrator for major account contracts.
  23. Perform additional duties as assigned.

Qualifications:

  1. High school diploma or equivalent.
  2. A minimum of 1 year of general office or customer service experience is required.
  3. Experience in the rental equipment or construction industry is preferred.
  4. Ability to work effectively under pressure and adapt to changing priorities.
  5. Proficient PC skills; familiarity with AS400 is a plus.
  6. A valid CA Class C License and a clean driving record are required.

Physical Demands:

  1. Frequent walking and movement, including navigating stairs.
  2. Manual handling of equipment.
  3. Ability to lift up to 25 lbs.
  4. Reaching in various directions.
  5. Bending and stooping as necessary.
  6. Standing for extended periods as required.
  7. Visual acuity for reading paperwork and computer screens.
  8. Effective communication in person and via telecommunications.
  9. Prolonged sitting at a desk.
