About the Role

We are seeking a highly skilled Sales and Catering Coordinator to join our dynamic team. As a key member of our events team, you will play a vital support role to our Event and Conference Service Managers, handling sales and catering inquiries, managing correspondence, and maintaining client records in Salesforce.

Key Responsibilities

  • Respond to phone and email inquiries for the Opal Collection, gathering information for sales and event managers.
  • Welcome and acknowledge all guests and clients according to company standards, anticipating and addressing their service needs.
  • Perform data entry and manage correspondence related to sales and catering, including handling inquiries, emails, and communications with customers and internal teams.
  • Maintain and update client records in Salesforce.
  • Distribute leads and input inquiries in Salesforce.
  • Prepare and review documents accurately and completely, answering internal and external calls using appropriate etiquette.
  • Communicate important feedback from clients to sales and event managers internally.
  • Process weekly BEO packets and resume distribution, including upcoming event reports for dual properties.
  • Complete all internal meeting BEOs for dual properties.
  • Distribute BEO revisions, including change logs for dual properties, to the banquet team in a timely manner.
  • Handle the distribution of arrangements for VIP clients for dual properties, including upgrades, delivery of amenities, and note cards, and coordinating with other departments.
  • Exhibit a strong understanding of resort amenities, meeting space, food and beverage minimums, rental pricing, menu pricing, and banquet and wedding menu familiarization for dual properties.
  • Distribute site alerts from Sales Managers for dual properties, including making restaurant reservations, obtaining and checking show rooms, walking meeting space prior to site, and making site welcome signage for reader boards.
  • Answer all wedding inquiries on Wedding Wire & Knot for dual properties.
  • Perform routine administrative functions to assist the event department in daily workflow, including work processing, office organization, creating filing systems, ordering and maintaining sales supplies, updating supplies and inventory lists.
  • Support duties and aid in managing accounts to achieve highest guest satisfaction.
  • Create file folders and distribute sales turnovers.
  • Create daily event summaries and daily event reports for dual properties, compiling weekly, monthly, and annual reports when required.
  • Evaluate sales collateral, including wedding packets and group packets for dual properties, ensuring they are readily available for event managers and conference service managers.
  • Prepare documents using word processing, spreadsheet, and database software.
  • Complete all gift certificate requests for sales, catering, and GM at dual properties.
  • Develop and maintain positive working relationships with other employees and departments, supporting the team to reach common goals.
  • Assist with the organization of projects and other administrative duties.
  • Handle incoming and outgoing mail, including check logs.
  • Maintain high standards of personal appearance and grooming in compliance with Opal Collection standards.
  • Maintain regular, timely attendance (Monday – Friday with 40-hour work week) in compliance with Opal Sands Resort standards.

Requirements

To be successful in this role, you will need:

  • Previous administrative experience.
  • Excellent organizational skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to work in a fast-paced environment.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
  • Familiarity with HMS and Salesforce, although not required.
  • A reliable commute before starting work.

Salary and Benefits

The estimated salary for this role is $45,000 - $60,000 per year, depending on experience.
