Key Responsibilities:


Reporting to the Finance Director, the Accounting Specialist is responsible for ensuring the precise, timely, and comprehensive entry of accounts payable and employee expense transactions; facilitating the timely closing of monthly, quarterly, and annual financial reports, including journal entries; and assisting with the annual audit process.


Main Duties:
Financial Operations - 85%
Oversee subsidiary journals, including cash management and accounts payable; and general journals as required
Review and approve all employee expense reports, providing training on policies and procedures as necessary
Reconcile all credit card transactions with monthly statements
Manage third-party software for employee expenses, including monthly reporting and reconciliation with the financial records
Receive, assess, and process all invoices and payment requests
Execute cash disbursements weekly
Reconcile accounts payable monthly
Process general ledger transactions and post entries
Assist in the annual budgeting process
Support the annual financial audit
Maintain and enforce internal controls to ensure compliance with generally accepted accounting principles
Organizational Support - 10%
Manage vendor relationships, including onboarding new vendors and resolving billing issues
Process annual 1099 forms
Oversee the financial aspects of equipment inventory documentation and tracking
Assist in the development and implementation of financial procedures and policies
Additional Administrative Support - 5%
Set up accounts for new employees (Expense reporting platform, Credit card program, national vendor sites)
Manage all requests for insurance policy certificates
Support the board Finance & Investment Committee
Participate in other team projects as needed

Work Schedule:
Standard business hours, Monday to Friday

Travel Requirements:
Minimal travel expected

Qualifications:
Applicants should possess the following qualifications:
Bachelor's degree in accounting or finance
Authorization to work in the U.S.
1 – 2 years of accounting experience, familiarity with accounting principles and procedures, and the ability to identify and recommend system enhancements
Strong communication skills, both clear and professional
Ability to manage multiple workstreams and meet deadlines
Experience with accounting software such as Sage Intacct or Quickbooks, with a focus on continuous improvement of financial systems
Proficiency in Microsoft Office applications and a willingness to learn new platforms
Demonstrated organizational skills and the ability to work independently
