POSITION OVERVIEW:

The role involves supporting various tasks such as managing homeowner warranty inquiries, overseeing facility operations, handling essential documentation, and ensuring timely updates of reports. The ideal candidate will collaborate closely with Construction Managers, maintain organized files, process invoices, and manage communication effectively. A proactive, detail-oriented individual with a positive outlook is essential for success in this role.

KEY RESPONSIBILITIES:

  • Serve as the primary office contact for visitors and inquiries.
  • Handle both incoming and outgoing communications, including phone calls, mail, and faxes.
  • Assist in the management and allocation of Customer Care cases.
  • Perform data entry in the Customer Care system, update reports, and draft correspondence.
  • Order necessary supplies for the office and field personnel.
  • Maintain updated contact lists and email distribution groups.
  • Coordinate catering requests and vendor contacts.
  • Process payment requests for external vendors.
  • Manage the transfer of gift cards as required.
  • Facilitate check deposits using a scanner and handle physical checks.
  • Ensure the common areas are well-maintained and act as the liaison for facility maintenance needs.
  • Oversee the scheduling of conference room usage.

REQUIRED QUALIFICATIONS:

  • High School Diploma or equivalent is mandatory.
  • A college degree is preferred.
  • Possession of a valid Driver's License.
  • At least 2 years of experience in the construction sector is preferred.
  • Strong organizational skills and process management capabilities.
  • Ability to prioritize tasks and take initiative.
  • Detail-oriented team player comfortable in a dynamic environment.
  • Proficient in Microsoft Word, Excel, and Adobe Acrobat.
  • Familiarity with JD Edwards and SalesForce is a plus.
  • Excellent communication skills, both written and verbal, along with effective time management.
  • Able to manage multiple tasks with competing deadlines professionally.
  • Demonstrates a strong work ethic, integrity, and the ability to perform well under pressure.
