Position Title: Payroll Administrator
Reports To: Treasury Director
Position Objective: Responsible for executing payroll processes and maintaining payroll documentation for various entities while offering administrative assistance to the Treasury Director. This role entails performing diverse payroll and administrative tasks of a complex and confidential nature, requiring a self-sufficient and organized individual.
Employment Status: This position does not establish a contract of employment or guarantee employment for a specified duration.
Key Responsibilities:
Payroll Management:
- Gather payroll data from relevant parties within the Hoffman organizations.
- Examine information for unique payroll situations, including multistate payroll, leave entitlements, and certified payroll, soliciting further details as necessary.
- Input, verify accuracy, and process payroll information in the HRIS/payroll system for weekly, biweekly, and monthly payroll cycles.
- Generate and submit 401k reports for each payroll to the designated third-party administrator.
- Download, assess, and disseminate payroll reports or details to relevant stakeholders.
- Maintain certified payroll documentation, including job listings, wage determinations, and contact details.
- Compile and submit weekly certified payroll reports.
- Prepare and provide information required for monthly owner/contractor-controlled insurance program reporting.
- Support the auditing of various payroll records as required.
- Assist the Treasury Director with specialized payroll initiatives.
Treasury Support:
- Assist in gathering information and generating reports for various banking programs.
- Support the Treasury Director with research, special projects, and/or the implementation of new systems.
Sales Tax Management:
- Compile, organize, and summarize data necessary for sales and use tax filings across multiple states and various Hoffman entities.
- File periodic returns for multiple companies in different states.
- Archive filings, payment confirmations, and supporting documents.
- Assist the Treasury Director with sales tax-related projects.
Qualifications:
- Associate's Degree in Accounting or a related field.
- Experience in payroll processing (ADP and certified payroll experience preferred).
- Minimum of 3 years of administrative support experience.
- Ability to exercise sound judgment and maintain confidentiality concerning critical and sensitive information, records, and reports.
- Exceptional attention to detail.
- Demonstrated sense of urgency and adherence to deadlines.
- Proficient in the MS Office Suite (Outlook, Excel, PowerPoint, Word).
- Prior experience with the ADP Workforce Now platform is preferred.
- Ability to apply appropriate laws, regulations, policies, and procedures judiciously.
- Proven ability to work proactively, collaboratively, and independently.
- Possess integrity and a strong work ethic.
- Excellent interpersonal skills with the ability to communicate effectively with all levels of staff and work well independently or as part of a team.
- Strong verbal, written, analytical, and persuasive communication skills.
- Robust organizational skills.
