Position Overview:

The Customer Service Specialist plays a crucial role in creating a positive initial experience for clients at Person Centered Services. This position is tasked with managing all incoming communications, ensuring that inquiries are handled with utmost professionalism and care.

Key Responsibilities:

  • Respond to incoming calls, emails, and other forms of communication with appropriate etiquette and clarity.
  • Assess the nature of inquiries to provide accurate responses or direct them to the appropriate department.
  • Facilitate smooth transitions when forwarding inquiries to other teams.
  • Establish and maintain a comprehensive tracking system for all inquiries and their resolutions.
  • Educate potential clients about the range of services available.
  • Ensure consistent and clear communication with clients throughout their interactions.
  • Collaborate with community partners, including healthcare providers and service organizations, as needed.
  • Maintain an organized database of key stakeholder contact information.
  • Refer individuals seeking care coordination to the appropriate department.
  • Utilize an Electronic Health Record platform to manage information effectively.
  • Provide administrative support, including data gathering and report preparation as requested by management.
  • Monitor and report on customer satisfaction metrics.
  • Sort and distribute company correspondence.
  • Assist in managing user access to systems.
  • Perform additional duties as assigned.

Qualifications:

  • Ability to work independently with minimal oversight.
  • Strong organizational and multitasking skills.
  • Exceptional communication abilities, both verbal and written.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Commitment to maintaining confidentiality of sensitive information.
  • Demonstrated cultural competence and ethical professionalism.
  • Ability to prioritize tasks effectively and manage multiple projects simultaneously.
  • Proactive approach to professional responsibilities.
  • Timely completion of assigned tasks.

Education and Experience:

  • Bachelor's degree preferred.
  • Associate's degree required.
  • Minimum of one year of clerical experience within the last three years required.
  • Basic understanding of OPWDD or DOH preferred.
