Job Summary:

The Volunteer and Outreach Coordinator will play a vital role in supporting the Outreach operations of Hearts Campus. This dynamic individual will oversee the daily operations of our outreach programs, thrift store, can and bottle redemption center, and cafe, serving an underserved community in Buffalo, NY. The Coordinator will work closely with the Chief of Staff & Executive Assistant to ensure efficient operations, excellent customer service, and a welcoming environment.

Key Responsibilities:

Maintain established processes and success of outreach programs
Organize and coordinate the recruitment of volunteers at the Buffalo Campus
Train and lead all volunteers for the outreach operations at the Buffalo Campus
Create and publish weekly staff schedules
Review and approve weekly staff time cards
Coordinate and attend monthly team meetings
Ensure all marketing materials are submitted monthly emphasizing client and volunteer photos and stories to share with supporters
Maintain digital volunteer calendar and available slots based on ministry needs
Maintain updated records of all volunteers at the Buffalo Campus
Schedule and attend volunteer meetings and training events; report on volunteer activities as needed
Recommend and implement ongoing volunteer utilization and projects
Monitor and evaluate staff and volunteer performance and satisfaction
Help implement volunteer appreciation events and recognition programs
Manage inventory, donations, and sales for the Buffalo Campus Thrift Store
Implement strategies to increase sales, donations, and community engagement specific to the Buffalo campus
Coordinate can and bottle recycling processes ensuring facility and equipment cleanliness and maintenance, maintain accurate records and procedures
Coordinate can and bottle donation drives when applicable
Oversee the future cafe operations including food preparation, serving, and hygiene standards
Maintain a clean, organized, and safe environment in all facilities on the Buffalo campus
Collaborate with Hearts staff and community partners for outreach program awareness and growth
Oversee the operations of the commercial kitchen, mobile soup kitchen, and all food pantries
Maintain records of program statistics and report to Marketing, partner agencies, and Management on a monthly basis
Monitor and report on the impact of outreach programs
Adhere to all health and sanitation policies and ensure organization's compliance with state and federal guidelines and requirements
Coordinate site inspections for all outreach programs with Department of Health and FeedMore WNY
Attend partner agency meetings with community organizations; take notes and report deliverables and updates to management
Order supplies for department as needed
Perform other duties as assigned

Requirements:

Associate's Degree preferred
2 to 5 years coordinating volunteers
2 to 5 years of retail or related experience
Strong leadership and communication skills
Passion for serving the community, the underserved, and empowering others
Experience in retail, food service, recycling, or social service industries
Prior roles requiring critical thinking and problem-solving skills
Experience communicating with a diverse mix of volunteers, donors, and supporters would be beneficial
Experience with having direct reports in a supervisory role or similar
Must hold a current, valid driver's license
Excellent driving record, as verified through the state DMV

Preferred Qualifications:

Proficient in relevant technology including but not limited to smartphone usage, G-Suite, Microsoft Word, and Excel
Proficiency in basic computer applications and point-of-sale systems
Proficiency in volunteer management software and calendar tools
Excellent communication and interpersonal skills
Ability to multitask and work in a fast-paced environment
Excellent customer service skills
Excellent communication, organizational, and multi-tasking skills
Ability to work with diverse populations and people groups
Able to work effectively independently and part of a team
Flexibility to work occasional evenings and weekends
Commitment to the mission of Hearts for the Homeless
Must have reliable transportation
