Job Summary

The Estimating Assistant provides critical administrative support to the Estimating team, ensuring seamless project execution and bid preparation. This role involves carrying out administrative processes, procedures, and document control associated with job bids, projects, plans, and specifications.

Key Responsibilities
  • Champion The Layton Way by delivering predictable outcomes for internal teams, external teams, and customers.
  • Ensure Constructing with Integrity is delivered by working with honesty, unity, safety, and quality of work.
  • Prepare and maintain project folders, create job information, scope, and bid day files.
  • Prepare invitations to bid, including general project descriptions, required trade packages, and subcontractor solicitations.
  • Determine the source for plans per project and notify estimators when updates are received.
  • Prioritize plans and execute workload related to proposal preparation.
  • Prepare bid documents (bid form, bid bond, proposal package) and obtain appropriate signatures.
  • Coordinate and maintain subcontractor bid lists per project and work with project estimators to ensure appropriate bid coverage per project scope.
  • Prepare and maintain subcontractor contact lists on Building Connected and identify areas that need additional subcontractor resources.
  • Maintain master subcontract lists and update them regularly.
  • Coordinate workload and tasks with Preconstruction Director and other Estimators.
  • Organize and maintain online plan rooms.
  • Maintain bid calendars, FTP websites, and corporate bid recap books.
  • Assist subcontractors in accessing the FTP website for access to plans.
  • Assist subcontractors in accessing Layton's pre-qualification site and encourage subcontractors to update pre-qualification information as needed.
  • Comply with all safety policies, practices, and procedures. Report all unsafe activities to supervisor and/or Safety.
  • Accept accountability for both individual and team performance.
Requirements
  • Must have a minimum of one year of post-high school education or three to six months of related experience or equivalent combination of education and experience.
  • Must be able to read and comprehend simple instructions, short correspondence, and memos. Must be able to compose simple correspondence.
  • Must have excellent spelling, grammar, and proofreading skills.
  • Should have the ability to effectively present or share information in one-on-one or small group situations to other employees or clients either in person or over the telephone.
  • Must be highly proficient in personal computer skills, including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
  • Must have the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Should be able to compute rate, ratio, and percentages.
  • Must be able to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Two years of previous secretarial or administrative experience.
  • Experience in the construction industry with the ability to read blueprints preferred.
