Job Summary

We are seeking a highly skilled and experienced Senior Administrative Assistant to join our Enterprise Operations team. As a key member of our leadership team, you will provide advanced administrative support to our senior leaders, ensuring seamless execution of their priorities and responsibilities.

Key Responsibilities
  • Support: Provide complex assistance and support to senior leaders, assessing and resolving issues that impact their performance. Maintain in-depth knowledge of company operations, policies, and procedures to solve challenges before they escalate.
  • Scheduling: Manage multiple leaders' calendars on a daily and weekly basis to ensure focus on high-priority areas. Coordinate all planning and preparation aspects of meetings, travel plans, and other events, arranging necessary logistics and materials.
  • Planning: Compile meeting materials, attend team meetings, create meeting minutes, and maintain follow-up on deliverables and action items from team meetings. Provide advance planning for the department on key meetings, large events, etc.
  • Communication: Manage incoming and outgoing communications. Collaborate successfully with management and associates in completion of daily administration duties. Act as a liaison to stakeholders, associates, and third parties on the executive's behalf.
  • Coordination: Provide key support to help drive site lead responsibilities, which may include supporting large events, key executive meeting visits, etc. Organize offsites, virtual offsites, working sessions, and all-day meeting logistics.
Requirements
  • High School Diploma or GED and 3 years of experience in administrative support roles
  • Preferred Qualifications:
    • 5+ years of experience providing advanced administrative support to multiple senior level leaders
    • Intermediate to Advanced Microsoft Office 365 skills, specifically Word, Excel, Outlook, and PowerPoint
    • Experience with complex calendar management
    • Experience with travel planning and management
    • Experience with expense reporting for multiple leaders
    • Meeting planning experience, including both onsite and offsite events
    • Exemplary written and verbal communication skills
    • Visio experience is a plus
    • Concur experience is a plus
    • Administrative support experience within financial services is a plus
