About the Role

The Post-Closing Loan Specialist plays a critical role in ensuring the smooth operation of our mortgage loan process. This position is responsible for handling post-closing mortgage loan document verification, validating system data entry as compared to mortgage loan documents, and conducting follow-up document tracking with other departments and settlement agents.

Key Responsibilities
  • Document Verification: Review and validate all documentation on closed loans to ensure compliance with federal, state, program, and/or industry regulations and guidelines/overlays for submitting files to sub-servicers and/or investors.
  • Process Flow Completion: Confirm that all documentation and specific process flow has been completed for each loan.
  • Sub-Servicer and Investor Management: Complete appropriate sub-servicer and/or investor checklists for each loan, set up loans for servicing, input, and submit to sub-servicers, and prepare closed loan packages for delivery to investors.
  • Delivery and Tracking: Ensure prompt delivery of all closing documentation and/or conditions to investors to meet funding and delivery dates, and coordinate the release of documents to custodians for Fannie Mae, Freddie Mac, FHLB, and investors on closed loans.
  • Customer Service: Handle customer service issues accurately and efficiently, and provide excellent internal and external customer service.
Secondary Functions
  • File Management: Receive original closing packages from the Closing Department on closed files from settlement agents, prepare and image documents from closing packages into internal systems, and maintain and account for all mortgage files/documents requested from internal employees, auditors, or investors.
  • File Organization and Maintenance: Ensure original documents leaving the file room are properly tracked and follow up on returns per procedures, maintain paid/closed loan file requests, and ensure aged files are sent to off-site storage for retention.
  • Communication and Collaboration: Proactively communicate information to management when issues arise that may hinder the workflow process, and work together with the team and management to find resolutions.
Accountability for Business Results
  • Timely and Accurate Handling: Timely and accurately handle loan file/document acceptance and requests, proper delivery of investor loan purchases, and proper delivery of new loan set-up to sub-servicers.
Skills and Competencies
  • Technical Skills: Working knowledge of Microsoft Office Products, including Word, Excel, and Access, and working knowledge of International Document Services, Calyx Point, and Meridian Link.
  • Soft Skills: Ability to plan, organize, and prioritize tasks, ability to manage and organize a high volume of documents, excellent organization, data entry, and mathematical skills with close attention to details, and highly motivated team player with ability to provide interactive service to others.
Desired Qualifications
  • Education: Associate's degree in a relevant field or equivalent experience preferred.
  • Experience: 3+ years of experience in residential mortgage loan documentation and 2 years of servicing experience.
