We are seeking a proficient office management coordinator who is eager to contribute to innovative projects. In this position, you will support the Business Executive, Staff Officers, and Leads in managing personnel and overseeing daily operations.
Key Responsibilities:
- Act as the primary point of contact for assigned tasks, ensuring all requirements are met, reviewed, and approved by leadership before submission.
- Assist the Business Executive and staff in all activities related to AOT and its affiliated offices.
- Provide support for Continuity of Operations (COOP) and Business Continuity Planning (BCP), as well as space planning and position management to achieve organizational objectives.
- Compile special reports, summaries, or responses to inquiries related to the mission, utilizing information from various sources under general guidance.
- Support staff management and the administration of daily activities for the Business Executive and staff.
- Document Action Items and commitments made during meetings and coordinate the implementation with Data Squads.
- Prepare necessary materials for conferences, correspondence, appointments, and meetings, while keeping the lead officer informed on relevant matters.
- Review outgoing correspondence for executive approval, advising authors on any discrepancies with policies or executive viewpoints.
- Summarize incoming materials and important information to assist executives, coordinating new insights with background sources.
- Review publications, agency regulations, and directives, taking action or referring important items to the Business Executive and their team.
- Advise administrative personnel in subordinate offices on new procedures and request necessary information for reports and inquiries.
- Exhibit strong internal and external coordination, non-technical writing, organizational, and customer service skills.
- Extract and synthesize complex information to prepare briefings and other documentation.
- Demonstrate briefing skills, project management, strategic planning, organizational abilities, and resource management.
- Communicate effectively, both verbally and in writing.
- Work collaboratively as a team member, consistently meeting deadlines with attention to detail.
- Exhibit the capability to work independently and manage pressure effectively.
- Understand COOP/BCP concepts, space planning, Defense Travel System (DTS), records management, and event coordination.
- Demonstrate strong problem identification, analysis, and resolution skills.
- Serve as an Information Officer (IO) responsible for facilitating Records Management, ensuring proper filing systems and training for office personnel.
Qualifications:
- Active TS/SCI clearance, reflecting a commitment to confidentiality and security.
- Bachelor's degree in Business Management or a related field, or at least 7 years of relevant experience in lieu of a degree.
- Proficient in Microsoft Office Applications, with the ability to independently create materials using these tools.
Preferred Qualifications:
- Experience performing general staff officer duties following established guidelines.
- Ability to gather information and synthesize functional needs effectively.
- Experience in research and information gathering.
- Familiarity with the intelligence analysis and production process.
- Basic understanding of the National Security Group (NSG) structure and the roles of functional managers.
- Knowledge of Department of Defense and Intelligence Community practices, missions, and policies.
