The individual in this position is responsible for ensuring the smooth flow of patients through a set schedule of appointments. This includes welcoming patients, confirming insurance details, completing required documentation, and addressing any questions or concerns.

The main objective of this role is to improve the check-in and check-out experience for patients, making it as efficient and pleasant as possible.


Key Responsibilities:
Reasonable accommodations may be made to assist individuals with disabilities in performing essential functions. Greet patients and visitors warmly upon their arrival. Manage multiple phone lines promptly, including regular checks of voicemails. Accurately process patient payments, whether by credit card or cash, and ensure daily cash drawer reconciliation. Schedule, modify, and confirm patient appointments as needed. Utilize various online platforms to verify insurance information for patient visits.

Assist patients during the check-out process after their appointments, including scheduling follow-up visits and distributing necessary documents such as lab orders.

Maintain and manage assigned task lists. Collaborate effectively with colleagues to complete shared responsibilities. Ensure all patient demographics and necessary paperwork are updated and verified prior to appointments. Strive to keep patients on schedule and communicate any delays to the back-office team. Provide assistance to patients who may be feeling unwell or distressed. Address and resolve patient inquiries or issues. Keep the reception and waiting areas tidy and organized. Work collaboratively with others, ensuring effective communication with patients, healthcare providers, support staff, and administrative personnel. Perform any additional duties as assigned by front office management.

Qualifications:
The qualifications listed below represent the knowledge, skills, and abilities required for this position. Minimum Education: High school diploma or equivalent (GED)

Experience Requirements:
Successful completion of a medical front office training program or relevant on-the-job experience with a focus on customer service.

Knowledge and Skills:
Bilingual in Spanish is preferred. Ability to communicate effectively and courteously with patients and team members both in person and over the phone. Demonstrated ability to exercise tact, initiative, and sound judgment in interactions with patients and staff. Proficient in basic office skills, including typing, call transfers, and faxing. Strong organizational and problem-solving abilities. Capability to work on a computer for extended periods. Proficient in navigating and accurately entering data within the EMR system. Willingness to accept supervision and constructive feedback.
