Outpatient Program Coordinator

Lifepoint Behavioral Health is seeking a highly skilled and detail-oriented Outpatient Coordinator to join our team. As a key member of our outpatient department, you will play a critical role in ensuring the smooth operation of our programs and services.
Key Responsibilities- Monitor and complete necessary audits for patient care tracking.
- Handle all aspects of the admission process, including supporting the completion of pre-admission paperwork as applicable.
- Track and collect required assessments and surveys, such as BASIS-32/CABA and patient satisfaction surveys.
- Maintain a supply of therapeutic tools, such as worksheets, videos, and games, for clinician use.
- Per the therapist's dictation, maintain the programming schedule.
- Support with charge reconciliation and entering as required.
- Support the team with patient group assignments and coordination efforts.
- Support with vital and UDS capture as needed.
- Complete DCAR reporting in a timely and accurate fashion.
- Maintain staff schedules and ensure staffing for the program.
- Monitor and record attendance, including tardiness and absences.
- Support in organizing and filing paperwork.
- Audit charts and communicate with the treatment team to ensure chart compliance.
- Interface with others to ensure completion of physician follow-ups from CPE.
- Manage Family Session Schedules as required by the program.
- Provide transportation daily via hospital vehicle to patients to/from home into the IOP Program.
- Work with the business office and the utilization review department to ensure payment for services.
- Perform pre-certifications and concurrent reviews.
- Develop relationships with payer sources.
- Interface with the UR department to ensure service coverage for patients.
- Maintain program and patient information and data to create reports, census, and assist the Business Office in reporting.
- Maintain a positive working relationship with referral sources, community agencies, and organizations.
- Schedule CPEs, nursing assessments, H&P, and psychosocial assessment with the appropriate clinician and per required timeframe.
- Schedule or complete UDS collections, including random screenings.
- Ensure orders are obtained for patients prior to starting services (as applicable).
- Actively participate in the therapist's discharge planning needs.
- As directed, create appointments, start follow-up care process, and complete interfacing with organizations.
- Cross-train and support in various outpatient functions, including PCA, transportation, and financial counseling.
- Conduct appointment reminder calls.
- Collect copays and deductibles as applicable.
- Manage organizational tools to ensure efficient operations, including bed boards/group room assignments, treatment team schedule, flash reports, etc.
- Provide impeccable customer service to patients, families, referral sources, and stakeholders.
Education/Licensure:
- High school degree or equivalent.
- Valid driver's license.
- CPR certification and Crisis Prevention Training (CPI) within 30 days of employment and prior to any patient contact.
