Position Overview:

The Billing Specialist is responsible for the meticulous management of financial records and the accurate documentation of profits generated from vehicle sales.

Key Responsibilities:

  • Maintain comprehensive inventory schedules.
  • Document profits from vehicle transactions.
  • Record commissions for sales personnel.
  • Verify and ensure timely processing of factory incentives.
  • Post all incentive payments accurately.
  • Manage retail, loaner, and fleet transactions, ensuring accurate deal logs.
  • Process daily ACH contract fundings.
  • Oversee floor plan payoffs.
  • Reconcile gross profit with monthly managerial reports.
  • Challenge and pursue any outstanding incentives.
  • Ensure timely receipt of trade titles.
  • Prepare First Look Water Reports.
  • Assist financial institutions with floor plan audits.
  • Foster strong relationships with dealership staff and accounting managers.
  • Maintain various schedules including Contracts in Transit, We Owe, Incentives, Trade Payoff, Lien Payoff, and Inventory Reconciliation.
  • Uphold customer satisfaction index at or above company standards.
  • Ensure a clean, organized, and safe workspace.
  • Participate in mandatory training sessions.
  • Accurately record hours worked in the company timekeeping system.
  • Adhere to all safety regulations and company policies.
  • Perform additional duties as assigned.

Qualifications:

To excel in this role, candidates must demonstrate proficiency in the essential duties outlined above. The following qualifications are preferred:

Education:

  • High School Diploma or GED.
  • Associate Degree in Accounting or a related field is preferred.

Experience:

Up to 3 years of relevant experience in a high-volume accounting environment is desired. A strong background in accounting principles is essential.

Skills:

  • Intermediate proficiency in Microsoft Office Suite.
  • Ability to learn dealership management and accounting software.
  • Strong organizational and communication skills.

Physical and Environmental Demands:

This position primarily involves desk work in an office environment, requiring regular interaction with team members and vendors.
