Job Summary

Stony Brook Medicine is seeking an experienced Instructional Support Associate to join our Histology Laboratory team. This role provides administrative support and ensures laboratory procedures are followed to guarantee proper patient care and a safe work environment.

Key Responsibilities
  • Input surgical requisitions into the Copath patient information system using established surgical policies and pathology protocols.
  • Accept specimens from multiple locations within the hospital and outside facilities into the Pathology Laboratory, ensuring proper labeling and requisition completion according to Stony Brook policy.
  • Accurately and efficiently process STAT, frozen section, fresh, and formalin fixed tissue specimens according to established policies and procedures.
  • Evaluate each specimen's fixation needs, obtain required sign-offs, and provide documentation of fixation times.
  • Utilize the Hospital Information System (Cerner) for patient registration and ordering diagnostic tests, the Laboratory Information System (Copath) to accession specimens, and the Hospital Procurement System (Lawson) for ordering supplies.
  • Resolve Cerner/Copath issues and bring unresolved issues to the Associate Director's attention.
  • Ensure all secondary containers are labeled appropriately in the laboratory, providing company information, lot numbers, expiration dates, open dates, and chemical hazards.
  • Assist the SL5 in updating the SDS pro chemical inventory, both on the Pathology share drive and in the hospital information system.
  • Order supplies using the hospital Lawson system and maintain a continuous inventory checklist.
  • Rotate responsibility for providing coverage in the Pathology Grossing Room, Histology Case Assembly, and Block and Slide Storage room.
  • Assist the Associate Director and instruct subordinates, other laboratory staff, and hospital community members on implementing new procedures and policies, maintaining and instructing subordinates in proper procedures, policies, and safe laboratory practices.
  • Train other Instructional Support Associates on laboratory policies and procedures.
  • Ensure first-level compliance with accreditation agency standards for surgical pathology grossing and participate in accreditation agency inspections for the Grossing Room.
  • Act as a SB SAFE Coordinator for Surgical Pathology, identifying safety issues, inputting reports, and developing corrective actions with the Associate Technical Director.
  • Responsible for equipment maintenance and troubleshooting, as well as preventative maintenance records for the Grossing area.
  • Coordinate hazardous waste disposal for all Anatomic Pathology areas according to established policies and procedures, working with Environmental Health and Safety to ensure proper disposal of chemicals.
  • Provide administrative quality assurance support to the Associate Technical Director, reconciling daily Grossing room specimen issues and transport logs, and providing Quality Assurance Grossing Room reports.
  • Assist Histology Technologists with additional tasks, assemble folders/paperwork, perform Case Assembly, file tissue samples and surgical slides, and retrieve surgical specimens.
  • Assist Pathologists in scanning Digital Pathology slides using the Leica Aperio system, individually inputting slides and determining accuracy of scan.
  • Assist SL5 in scanning and importing quality assurance paperwork into Copath.
  • Attend various committees as assigned, assist in implementations of LIS systems, and QA projects.
Requirements
  • Bachelor's degree.
  • At least 2 years of hospital and/or laboratory environment experience.
  • Excellent oral and written communication skills.
  • Excellent organizational skills.
  • Ability to complete projects using independent judgment.
Preferred Qualifications
  • Bachelor's degree in Pathology, Histology, Biomedical Engineering, or related.
  • Proficient with Hospital Information System (HIS).
  • Proficiency with Laboratory Information System (LIS).
