Responsibilities- Provide administrative support to sales staff, including calendar management, appointment scheduling, and travel arrangements.
- Verify all files, both hard and soft copies, are current, complete, and accessible.
- Generate timely correspondence and respond to letters and general correspondence as needed.
- Handle sensitive situations with discretion and initiate problem resolution as necessary.
- Act as a volunteer council member for the district office, promoting community involvement and volunteerism among Insperity employees and worksite employees.
- Oversee local corporate donations and collaborate with corporate communications and public relations firms to promote volunteerism in the community.
- Provide computer training for sales personnel and basic technical support as directed by corporate sales management.
- Work closely with the corporate office to identify and resolve computer-related issues.
- Process decline letters, requisitions, and assist in the preparation of sales proposals and census updates.
- Prepare or assist in the preparation of sales proposals and conduct final reviews prior to submission to corporate.
- Collaborate with Sales Operations in the development, testing, and implementation of new processes, programs, and projects.
- Receive incoming calls, visitors, and clients, and act as the sales office receptionist, scheduling conference room usage.
- Perform special assignments for sales management, including the development of new reports and lead/appointment management.
- High School Diploma or equivalent required.
- Three to five years of progressively responsible administrative experience, preferably in a sales office setting.
- Demonstrated strong communication, computer, and office management skills.
- Knowledge of principles, practices, and procedures of a general sales office, telephone etiquette, office equipment, and filing systems used in compiling and maintaining records and preparing reports.
- Ability to perform highly confidential and responsible administrative duties with speed and accuracy.
- Communicates tactfully and effectively, verbally and in writing, to a wide variety of people.
- Maintains effective work relations with those encountered in the course of employment.
- Proficient in Microsoft applications, including Word, Excel, Docu-Sign, OneForce, and PowerPoint.
- Knowledge of database and report writing applications preferred.
- Strong problem-solving skills, ability to analyze situations accurately and take effective action.
- Ability to work independently in the absence of direct supervision and under narrow time constraints.
- Strong teamwork and interpersonal skills at all management levels.
