Position Summary:
The Full-time Front Desk Clerk serves as the primary point of contact for guests, ensuring the front office operates efficiently. This role involves assisting with the check-in and check-out processes for guests and owners, while keeping the management team informed about relevant information concerning rental units and guests. The ideal candidate will possess a friendly demeanor and be capable of engaging with guests in a helpful and approachable manner. Availability during weekends and evenings is essential.
Key Responsibilities:
- Deliver exceptional customer service and support to guests regarding rental inquiries through various communication channels.
- Facilitate a seamless vacation experience from arrival to departure, providing guests with information about on-site amenities and local events.
- Utilize basic office skills to manage phone calls, perform clerical tasks, and maintain organized records.
- Handle reservation requests via phone and email.
- Ensure all documentation for guest arrivals is complete and accurate, including check-in packages.
- Prepare guest reservation cards for incoming guests.
- Conduct inspections of rental units before and after guest stays.
- Process maintenance requests for units and common areas.
- Address guest inquiries and concerns, resolving minor issues and escalating to management when necessary.
- Communicate and uphold property policies and procedures.
- Manage key card issuance, parking passes, and mail sorting for guests.
- Perform additional duties as assigned based on operational needs.
Qualifications:
- High school diploma or equivalent.
- Prior experience in customer service is required.
- Familiarity with computer applications is essential.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
Physical Requirements:
This position requires the ability to stand, communicate, and hear effectively. Frequent walking and the use of hands for various tasks are necessary. Employees may need to lift and move items weighing up to 10 pounds regularly and up to 25 pounds occasionally. Heavier items should be lifted with assistance or equipment.
