**About the Role:**

We are seeking a highly organized and detail-oriented Program Coordinator to join our team at Harborview Medical Center. This role will provide administrative support to our Nutrition and Food Services Department.

About the Team:

Harborview Medical Center is a comprehensive healthcare facility owned by King County and operated by UW Medicine. Our team is dedicated to providing specialized care for a broad spectrum of patients from throughout the Pacific Northwest.

Key Responsibilities:

  • Maintain vendor information and catering files spreadsheets, and other duties as assigned by Manager.
  • Act as department liaison, scheduling and setting up department activities and serving as a point of contact for the front office.
  • Receives, reviews, and signs off for delivered items and products received by the department.
  • Collects daily invoices from Cafeteria, Maleng Bistro, Catering and Stockroom.
  • Sorts and reconciles invoices for accuracy.
  • Releases payments for vendors that are on Blanket Purchase Order in Workday.
  • Enters the invoices' data into Month End Expenses Report spreadsheet.
  • Establishes and maintains records relating to department expenses: Blanket Purchase Order, Check Requests PO Log, and Vendor's lists.
  • Createrequisitions in Workday for Nutrition and Foodservices Department and other budgets assigned when needed.
  • Responds to vendor's inquiries regarding late payments and other accounting issues.
  • Contacts Account Payable for invoices that have discrepancies, such as late payments.
  • Creates and reviews new employee personnel file for completion and maintains the department's employee files.
  • Keeps the employees' food handler permits file up to date.
  • Reviews uniform charges and follows up with managers for timely return of uniforms.
  • Performs clerical tasks in support of Nutrition program activity including creating signage and photocopying.
  • Schedule meetings and coordinate arrangements for program activities.
  • Maintains the Catering Monthly Charges spreadsheet by entering the data from the daily Catering Request forms transactions.
  • Checks department's mail daily.
  • Serve as a primary contact for department front office.
